Overview:
Element has an opportunity for a
**Support Services Assitant** to join our growing team. This is a great opportunity to develop your Administration career within a Global TIC business.

**Responsibilities**:
**Office administration, including**:

- Undertaking tasks/workload and dealing with queries within the Support Services Inbox
- Issuing accurate Quotes (Order Acknowledgments) to clients
- Reports - collation, formatting and issuing to clients
- Updating relevant Job information/details to necessary department spreadsheets
- Filing/archiving - paperless job folders
- Processing of daily accurate invoices and weekly/monthly invoicing exports, assisting with enquires when required

**Office coordination and administration for the Wednesbury site, including**:

- Support to manage Element’s central contracts, i.e. cleaning and waste
- Raise purchase orders/purchase items, respond to queries and liaise/arrange appointments to ensure contracted work is carried out in a timely manner and to agreed levels
- Support with day-to-day troubleshooting

**Ordering process of various consumables for the Wednesbury site, including**:

- Stationery
- Workwear/PPE
- Cleaning
- Catering

**Receptionist duties, including**:
Answering and directing calls through a switchboard, customer service/visitor experience, H&S Inductions, coordination of meeting room bookings, sorting and distribution of post/deliveries, coordinating courier collections, undertaking tasks/workload and dealing with queries within the Reception Inbox and maintaining various spreadsheets

Skills / Qualifications:

- Highly motivated and dedicated self-starter who can work well within a busy team
- Knowledge of administration/office procedures and practices (desired, not essential)
- The ability and willingness to work on a busy Reception/switchboard
- Excellent telephone manner
- Excellent IT skills on Microsoft Outlook / Word / Excel
- Strong coordination, organisation and communication (written and verbal) skills
