**Job Description**:
Working effectively in a busy environment, the Administrator will provide support to the Senior Contracts & Executive Assistant - Earth Data EAMEK Team, in the effective running of the departmental unit. With general office duties to include, typing and document generation, travel arrangements, handling enquiries, creating and maintaining filing systems, maintaining spreadsheets, creating purchase requests, assisting with meeting bookings, printing and binding client contracts or records and other ad hoc duties as and when needed.

**Principle Accountabilities**

Administration:

- Proficiently support the production and control of corporate reporting and documentation for the business, including contracts, reports, presentations, marketing materials, and Quality, Health, Safety, and Environment (QHSE) documentation.
- Demonstrate and manage best practices and cost effectiveness in all central administration functions.
- Assist in maintaining electronic and manual filing systems, primarily for contract processes, with a focus on transitioning to a more efficient electronic system where applicable.
- Ensure that all tasks adhere to the company's style branding and reflect professionalism, with an understanding of the company's operating, financial, and management systems.
- Respond to work requests and arrange a suitable program to address them.

Travel and Logistics:

- Provide logístical support to managers, including diary management and meeting support.
- Participate in projects and functions aimed at improving operational procedures and project/service delivery.
- Provide travel support to other business lines during periods of absence.
- Assist with courier or special delivery requests, primarily involving client and company legal documents or tenders. This may involve printing multiple copies with original wet ink signatures and company stamps.
- Assist in arranging team gatherings or special events (e.g., Christmas lunch, team-building activities).
- Assist in organizing team training sessions.
- Assist in collating and binding client audit records according to project requirements and any other client tracking needs.

Finance:

- Create purchase requests for the Earth Data department.
- Ensure that new suppliers are approved in the system.
- Assist in invoice approvals, verifying costs against contracts or purchase orders.

Additional Responsibilities:

- Distribute mail within the departmental area, ensuring efficient handling of correspondence.
- Coordinate with staff members in other departments or external contacts to fulfill requests.
- Participate in staff meetings and discussions, making a positive contribution to the future development of the administration team.
- Be willing to undergo training to effectively carry out assigned tasks.
- Comply with and actively promote the company's quality, health, and safety policies, procedures, and standards at all times, reinforcing these policies to ensure the well-being of the team.
- Respond to fire/emergency alarm system activations in accordance with established procedures.
- Maintain a professional and competent image of the business at all times.
- Undertake any other reasonable tasks, appropriate to your position, as assigned by your line manager.

**Qualifications**:
**Skills and Experiences**:

- Proficiency in computer software packages, including the Microsoft suite, internet, and office-based systems.
- Demonstrated experience and competence in administrative roles.
- Knowledge and competence in administrative processes and procedures.
- Good general education.
- Strong skills in spelling, punctuation, grammar, and English language.
- Highly developed communication and interpersonal skills, including liaising with senior staff and external entities.
- Proven initiative, attention to detail, and organizational skills, with the ability to prioritize conflicting demands.
- Adaptability to new and changing circumstances and a positive response to change.
- Excellent interpersonal skills.
- Proficient typing skills.
