**GP Receptionist The Nunhead Surgery SE15**

**Full time/Part time available**

Previous experience of working within General Practice and knowledge of emis web is desirable.

SALARY**:Depending on experience but typically £9.00-£10.50 ph**

The role of the receptionist is to welcome and help patients when they visit the surgery; to support the clinicians in the provision of a high quality service; to assist patients with their enquiries; to undertake clerical and reception duties efficiently and promptly.

The receptionist must be happy to work as a part of the Primary Health Care Team and be able to communicate effectively with patients, staff and clinicians. Whilst working under close supervision, the receptionist should also be capable of using initiative.

It is important that all members of staff are prepared to take on additional duties or relinquish existing duties in order to maintain the efficient running of the Practice. For example, when colleagues are absent, tasks and reception cover must be maintained by the rest of the team.

The practice manager and partners reserve the right to re-distribute duties and functions among members of the team from time.

The receptionist will receive instructions from and be answerable to the assistant practice manager, practice manager and the partners.

**1. **SKILLS, KNOWLEDGE and EXPERIENCE**

The receptionist will:
- Have excellent communication skills
- Have the ability to cope under pressure
- Be reliable and efficient
- Understand and respect the need for confidentiality
- Be patient and courteous
- Be sensitive to people’s needs
- Show willingness to work within the structure of the Practice and Primary Health Care team
- Have the ability to take accurate messages, to act quickly and to ensure effective

communication throughout the Practice
- Be literate and numerate
- Be willing to learn computer skills

**2. **RECEPTION DUTIES**
- Opening and preparing the premises punctually at the beginning of surgery, as required
- Assembling items for the reception desk
- Receiving and directing patients as appropriate
- Answering the telephone
- Speaking in a clear voice
- Taking and recording messages accurately
- Operating the appointment system as directed
- Arranging non-routine appointments as directed
- Taking and recording requests for visits
- Giving results of tests to patients as appropriate
- Arranging for prescriptions to be repeated
- Preparing and tidying the consulting rooms, including stocking up with stationery and equipment as needed.
- Watching for and reporting to the practice manager matters affecting security or safety
- Locking up and tidying the premises at night, as required, ensuring the answering machine is switched on
- Should a patient have cause to complain, it is the duty of the receptionist to inform the patient of the Complaints Procedure

**3. **CLERICAL DUTIES**
- Pulling and filing medical records
- Opening and distributing mail
- Filing letters, documents and hospital data
- Ensuring that all requests for medical reports are recorded and passed on to the

relevant person.
- Liaising with outside agencies as required
- Opening records for newly registered patients
- Returning records to the Health Authority as needed.
- Participating in recall of patients for immunisation, smears and other procedures as required
- Recording daily attendance and simple statistical information as required
- Participating in any project or audit that the Practice might undertake
- Posting mail
- Developing computer skills in order to undertake the range of clerical tasks required

by the job (supervision and training provided)
- Receiving monies and giving receipts where necessary e.g. for private certificates

**4. **HOUSEKEEPING DUTIES**

Making hot or cold drinks for the team
- Cleaning and tidying away afterwards
- Defrosting fridge when required
- Maintaining indoor plants as needed
- Tidying, sorting, and keeping tidy the waiting rooms, especially after clinics
- Actively participating in the recycling and disposal of waste paper and using environmentally friendly products

**5. **EDUCATION and DEVELOPMENT**
- Attending Practice meetings and receptionists’ meetings
- Attending relevant training courses outside the Practice
- Attending relevant courses within the Practice
- Developing an awareness of other staff’s responsibilities and showing a willingness to help

**6 **The receptionist may be required to undertake any other tasks necessary to the smooth running of the Practice and falling within what may reasonably be considered to be a receptionist’s duty.
