An opportunity has arisen for an highly motivated professional Administrators / Project Support Officer to work as part of a growing dynamic team to support Acute & Crisis Management team and nominated Senior management team members in the delivering safe and effective acute and crisis mental health services to residents across, Bexley, Bromley, and Greenwich.

Reporting to the Admin Manager/EA, this role is a key position, acting as the first point of contact for senior management, dealing with enquiries, and effective diary management. You will be supporting both internal and external colleagues and will also be responsible for, but not limited to the following tasks.

To support the Administration Manager / EA to Director with all office admin management responsibilities and with a project admin support role in an efficient and professional manner. This involves supporting the Administration Manager to ensure a coordinated and seamless service is delivered to support senior managers within the Directorate.

As a key member of the team, the post holder will provide project and administration support to the Acute and Crisis Directorate in delivering projects efficiently and on time. This will include supporting senior managers for the preparation, implementation and delivery of new solutions and processes. Be the central point of access and contact for the Directorate as directed by the line manager.

Project Support
- Project support role is responsible for coordinating and managing key project events including numerous work stream scheduling activities. The key purpose of the role of to provide high quality effective administrative support to the programme/ project staff as assigned. This will include comprehensive support to the programme. Project related tasks and ensuring that the programme/ project administration is completed to agreed timescales. You may be assigned to provide personal support to one or more of the programme leadership team, or to support one of the programme’s project teams.

Key Responsibilities General Administration
- Provide general administrative support, including arranging meetings, gathering information to fulfil project documentation requirements, proactively requesting information from colleagues to ensure project plans are maintained and up-to-date.
- Act proactively to ensure that all members of the team are kept informed of progress across the project using appropriate project products such as meeting notes, action logs, and briefing relating to the different project work streams.
- Support project/ programme board(s) as appropriate, producing notes of meetings and gathering and circulating documentation as necessary.
- Devise and maintain administrative and operational processes and systems, including data management and filing.
- Complete and create various packs and papers for training or operational purposes.
- Diary Management
- Communications: manage and process correspondence, using judgement to prioritise work requiring the attention of the leadership team
- Meetings: ensure the leaderships team is well prepared for meetings, organise meetings, and ensure that action points are tracked and followed up. Liaise with all Stakeholders for the service
