As an Information Governance Officer, you will be responsible for managing and fulfilling information requests under the UK General Data Protection Regulation (UK GDPR) and the Freedom of Information Act (FOIA). You will work closely with clients to understand their specific needs and requirements, and you will provide regular updates throughout the process to ensure customer satisfaction.

Main Duties & Responsibilities Of The Post
- Maintain accurate records of requests and responses.
- Communicate with clients to understand their specific requirements.
- Provide regular updates to clients on the progress of their requests.
- Ensure compliance with UK GDPR and FOIA regulations.

Skills Required
- The post holder will require good analytical and technical skills including experience using Microsoft products.
- The post holder will have the ability to organise their own workload whilst assisting colleagues to meet the departmental needs of the service
- Good verbal and written communication skills are essential to translate legislation.
- The post holder is required to establish and maintain good working relationships with all levels within the health community, the public and deal with all staff groups across a range of NHS and non-NHS organisations.
- The post holder must be self-motivated and organised. Be able to work under pressure and to deadlines, manage time and priorities appropriately.
- Maintain daily contact with colleagues working within the team to ensure priorities are met and targets achieved.
- Regularly update management team regarding outstanding issues, potential areas of concern and any other associated problem.

Flexible working in an office and home environment with three other hard working colleagues alongside advice and guidance from the Information Governance Lead manager.

The role of the Information Governance Officer is not only to carry out work necessary to meet all information handling in the work area, but to be able to supervise and direct the work of the support staff, in accordance with the processes and procedures of the administrative function.

To oversee the “Access to Health Records” request and Freedom of Information Act requests processes.

To seek advice from the Trust’s Legal Team, where there is any suggestion of Trust litigation.

To follow all appropriate guideline procedures in obtaining patient consent and health professional agreement prior to disclosure.

To retrieve notes ensuring no sensitive or third-party material is released without full consent.

To assist in the arrangements when patients / representatives view notes.

To ensure the electronic log is kept up to date to ensure monthly workload monitoring is accurate.

To encourage staff development through training to maximize their contribution to the service.

The role ensures the successful implementation of the “Access to Health Records” and Freedom of Information Act request work programme.

Responsible for ensuring all requests for “Access to Health Records” and Freedom of Information Act requests are dealt with in an efficient and timely manner within the set timescales.

Responsible for ensuring the accurate recording of all requests onto the Trust SAR logging system in a timely manner.

Responsible for ensuring mechanisms are in place to retrieve records, copy records and to liaise with multi - disciplinary staff where the need arises regarding disclosure.

Responsible for ensuring the processing of all associated documentation regarding appropriateness of requests, photocopying, consents, and identification checks ensuring that processes are consistent, transparent and legally compliant.

Ensure all telephone enquiries are dealt with in a timely and efficient and confidential manner.

To actively promote good practice within the department and report through any issues of concern relative to the service provision and job role.

To keep up to date with new developments within the job role and service changes in relation to Clinical records, Data Protection, Caldecott, Health Records Management as part of an individual development plan.

To support and be involved with service planning, service improvement and implementation under the direction of the Business Intelligence team.

Compliance with the General Data Protection Regulations / Data Protection Act and Information Governance requirements.

Responsibility in all dealings with staff and patients to comply with legislative requirements and best practice in acknowledgement of managing diversity, equal access, and equal opportunities.
