Serco works in a strategic partnership with Peterborough City Council in the heart of the city, to transform the quality of local services for our citizens. We currently have an opportunity to join our team as a Business Support Officer supporting administration to decision making panels.

Peterborough City Council convenes a number of panels for making decisions relating to the allocation of local authority resources and support for children and young people. This administration role will support the Short Breaks Panel together with gaining experience in supporting other meetings across Children’s Services. Cover during absence periods will be required to for the JASP and BVIO Panels.

Reporting into the Team Manager you will be responsible for providing business support to this service area, ensuring the efficient and effective operation of the service including diary management, minute taking, collating reports, distributing agendas reports and minutes, responding to queries and other general administration tasks.

**Main Responsibilities**
- Excellent communication skills - you will be working with a wide and diverse range of people such a Senior Management, clients, key contacts and members of the public, this will include support in resolving queries.
- To be responsible for setting up and co-ordinating meetings (as required). This will include managing multiple diaries for those meetings, organizing room bookings, attendee invites and ensuring that in liaising with all relevant professionals; all paperwork is prepared / available within agreed timescales and distributed to panels in advance.
- To take responsibility in ensuring the end-to-end process is completed in producing and distributing high quality plans and accurate minutes ranging from action points to highly complex detailed minutes. This would be in line with client requirements and within statutory timescales to ensure compliance.
- To be responsible for ensuring any follow up actions from meetings, conferences and panels including drafting formal and informal plans or any other agreements or formal notices are undertaken or disseminated appropriately as agreed with the Chairs / Coordinators; or any other external parties.
- To be able to work under pressure to deliver to tight statutory deadlines and under pressure including handling and hearing sensitive and potentially upsetting information directly and indirectly.
- Liaising with internal management to ensure the smooth maintenance of panel organisation and diary management.
- Organisational skills, working both individually and as part of a team in high detail to ensure total accuracy in a sensitive environment.
- Ability to prioritise and work to tight timescales
- Adhoc administrative tasks including but not limited to diary management, minute taking, collating reports, distributing agendas reports and minutes, responding to queries and other general administration tasks.
- Assist with the maintenance of filing systems, both electronic and manual to enable files to be accurately located.
- It would be beneficial to have some knowledge or experience of working within support services related to children and families and experience of effectively engaging with others.

**What you will need to do the role**

You will need experience using Microsoft Office, be organised with excellent attention to detail, resilient and hold the ability to communicate at all levels.
