**Job summary**
Experience essential. Duties can include but are not limited to working with the Administration Team and supporting Clinical Team, to ensure the smooth running of the Practice including reception responsibilities.
To deal with all enquiries from patients efficiently and courteously. Ensure that all, appointment booking, filing, record keeping, and distribution of documentation is undertaken in accordance with practice policy.
To project a positive and friendly image to patients and other visitors, either in person or via the telephone at all times.
Nutwood Medical Practice will be provide a full induction programme.
**Primary key responsibilities**
The following are the core responsibilities of the Administration Assistant. There may be, on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:
a. To promote a positive and professional image of Nutwood Medical Practice
b. To work to a consistently high standard and seek to improve skills and abilities
c. To answer the telephone, make and cancel appointments as appropriate and deal with all requests from patients via askmygp
d. Reception duties
f. File and store records as required
g. Photocopy and scan documentation as required
h. Process incoming and outgoing mail
i. Process changes to patient registration, deduction of record and new patient registration
j. Input data into the patient’s healthcare records as necessary
k. Welcome patients and visitors to the organisation, directing requests appropriately
l. Support all clinical staff with general administrative tasks as requested
**Secondary responsibilities**
In addition to the primary responsibilities, the Administration Assistant may be requested to:
a. Partake in audits as directed by the Operations Manager
b. Complete opening and closing procedures in accordance with the duty rota
c. There may be, on occasion, a requirement to carry out other tasks.
This will be dependent upon factors such as workload and staffing levels
**Leave**
All personnel are entitled to take leave. Line managers are to ensure all their staff are afforded the opportunity to take a minimum of 25 days’ leave each year and should be encouraged to take all their leave entitlement.
Public holidays will be calculated on a pro-rated basis dependent on the number of hours worked.
