**JOB DESCRIPTION**
**Job Title: Receptionist**
**Total Hrs Post 1 = 27 hours and Post 2 = 24 hours**
**Accountable to**:General Practitioners (for medical matters)
Team Leader (for routine work queries)
Practice Manager (for all other matters)
**Job Summary**
It is the duty of each Receptionist to assist in the smooth running of thePractice in general, and the Reception area in particular, and to project a positive and friendly image to our patients and other professionals who may contact us either in person or via the telephone.
**Principal Responsibilities**
- Answering all incoming telephone calls. Diverting them as appropriate, and/or taking and passing on messages.
- Dealing with all telephone queries/requests from patients, and acting as liaison with the Doctors as necessary.
- Making appointments via the computerised system.
- Greeting patients at reception, noting their arrival and dealing with any query or request as appropriate.
- Supporting and assisting the Doctors during surgery times as required.
- Liaising with secondary care providers and arranging transport as necessary.
- Dealing with repeat prescription requests.
- Assisting patients with registrations and processing the paperwork.
- Dealing with all incoming and outgoing patient notes,
- Scanning/Filing all patient information in electronic record and/or paper records.
- Maintaining patient electronic medical record. Accessing information when required.
- Daily preparation of Doctors rooms and other clinics.
- Ensuring Doctors surgeries are stocked with the necessary paperwork and forms to enable their surgeries to proceed without interruption.
- Maintaining and encouraging adequate security measures, ensuring all clinic rooms are locked when not in use.
- Liaising with attached staff, including Health Visitors, District Nurses,
Midwives, Counsellors, etc as required.
- Supporting and encouraging other members of the Practice team.
- Maintaining the Health and Safety of all staff, patients and visitors.
- Any other duties as requested by the Doctors, Practice Manager or Senior
Receptionist.
**Confidentiality**:
- In the course of seeking treatment, patients entrust us with, or allow us to gather, sensitive information in relation to their health and other matters. They do so in confidence and have the right to expect that staff will respect their privacy and act appropriately
- In the performance of the duties outlined in this Job Description, the post-holder may have access to confidential information relating to patients and their carers, Practice staff and other healthcare workers.
They may also have access to information relating to the Practice as a business organisation. All such information from any source is to be regarded as strictly confidential
- Information relating to patients, carers, colleagues, other healthcare workers or the business of the Practice may only be divulged to authorised persons in accordance with the Practice policies and procedures relating to confidentiality and the protection of personal and sensitive data
**Health & Safety**:
The post-holder will assist in promoting and maintaining their own and others’ health, safety and security as defined in the Practice Health & Safety Policy, to include:
- Using personal security systems within the workplace according to
Practice guidelines
- Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks
- Making effective use of training to update knowledge and skills
- Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards
- Reporting potential risks identified

- Taking responsibility for own development, learning and performance and demonstrating skills and activities to others who are undertaking similar work
