We are looking for a highly motivated and well-organised Clerical Assistant / Receptionist to join the Salford Memory Assessment and Treatment service at Woodlands Hospital.

The post holder will be responsible for receiving, processing, scanning and forwarding of referrals: agreeing, amending and issuing appointments; ensuring that all processes are carried out in a timely and accurate manner to ensure efficient running of the service

This post holder will provide administrative support for the Memory Assessment and Treatment Service and will work in helping the other administrative staff support the function of the MATS.

To be able to communicate effectively.

Deal with telephone enquiries, ensuring messages are recorded and received by the relevant personnel.

Circulate and distribute minutes and other relevant documents as requested by staff.

Maintain the highest standard of confidentiality with regard to information about clients at all times.

To undertake copy and audio word processing of minutes, reports and other correspondence on behalf of office and professional staff.

Organise meetings, booking rooms and refreshments and make appointments as directed.

Assist in the maintenance of electric records (PARIS) and routine filing of correspondence and records.

Be responsible for collecting and distributing the post for the offices on a daily basis in the morning and afternoon.

Attend general administrative meetings on a monthly basis and be an integral part of the communication process within the team.

Provide cover for colleagues during times of sickness and annual leave.

Undertake any other duties as required by staff, which are commensurate with the grade.

Ability to use word processing packages, Microsoft, Outlook.

A willingness to develop in their role as required.

Must have the ability to use office equipment such as scanner, photocopier, printer, etc.

Duties will include answering and dealing with confidential telephone enquiries and inputting to the patient information system. You will be expected to produce work within tight schedules and to a consistently high standard. You should be able to work on your own initiative as well being part of the team. You should have exceptional organisational skills, IT skills are desirable and you must be able to prioritise workload and respond to any enquiries in a professional manner.

Dealing with all incoming and outgoing post, processing, distributing and responding within time limits.

Ensuring that sufficient stocks of stationery are available to the meet the needs of the team without resorting to stockpiling.

Scan on all appropriate documentation to update patient records.

Updating patient record system for maintaining data quality standards.

To undertake any other reasonable duty when requested to do so by an appropriate trust manager and to comply with all trust policies, procedures, protocols and guidelines.
