**Personal Assistant**

**About the Role**

Reporting into the Head of Distribution and Head of Supply Chain Planning & Business Resilience, you will provide seamless administrative support to the Heads of whilst ensuring a deep understanding of their needs and preferences, to ensure smooth running of their daily activities and diaries. Role also includes diary management for General Manager
- Dispatch (based in Knightsbridge).

Other responsibilities and attributes include:

- Effective diary management; understanding the importance of key meetings, builds flexibility into the diary and anticipates needs
- Preparing documentation such as agendas, figures and meeting packs/presentations
- Note taking at meetings, preparing the minutes and subsequently distributing to all participants
- Requirement to travel to Knightsbridge
- Arranging internal and external meetings; booking rooms, organising equipment and catering
- Meeting and greeting external visitors
- Maintaining the organisational charts for areas of responsibility
- Organising of monthly leadership meetings
- Ensuring necessary travel arrangements as required (both national and international); in line with Company policy
- Ensuring there is sufficient stationary supplies within the department
- Assisting with photocopying, scanning and binding of documents
- Creating and maintaining filling systems
- Ensuring expenses are processed within Company guidelines/timeframes
- Supporting with all other administrative tasks as directed
- Developing an understanding of Company Policies
- Overseeing petty cash payments

**About You**

You must have great oral and written communication skills, as well and be organised. You will be someone who has a proactive attitude and approach to work, and be able to respond with urgency and work to tight deadlines.
