Finance Assistant

Responsible for assisting the Finance Department ensuring financial aspects of the business are protected and well managed & enhance the overall financial administration within the Department. This role may suit someone wishing to work part time or suit a trainee or an apprentice.
**Duties**:
- Maintaining paper Proof of Delivery notes (PODs) that come into office via post.
- Scanning and attaching hard copy PODs to COINS (the finance system).
- Attaching PODs from Teams to COINS.
- Shredding paper invoices and PODs.
- Answering department telephone calls, taking and passing on accurate messages.
- Monitoring/managing the ‘Accounts’ & ‘Facilities Management (FM) Accounts’ mailbox.
- Downloading all invoices and credits to folders.
- Forwarding remittances.
- Chasing / following up.
- Processing FM Sub-contractor invoices on COINS.
- Producing Invoices on hold report and sending to FM.
- Requesting Credits from suppliers.
- Submitting invoice queries to suppliers.
- Scanning credit card receipts | expenses | attaching files.
- Managing the supplier and subcontractor database.
- Setting up supplier accounts.
- Completing supplier forms.
- Maintaining positive supplier engagement to keep suppliers informed about payments and invoice status.
- Producing and sending monthly reports.
- Monthly schedule calendar entry.
- Administration tasks for the Finance team.

Pay: £18,000.00-£30,000.00 per year
