**An Agricultural Company based in Bracknell is seeking a Business Support Assistant to join their team on a contract basis for 12 months initially. (Hybrid working 3 days in office, 2 days remote)**

**Role purpose**

**Accountabilities**

**Order and Invoice Processing**
- Raise internal orders for all projects in-line with company procedures, maintaining accurate records, and in liaison with project managers and associated teams
- Conduct invoice processing procedures in-line with company procedures, coordinating with vendors, checking supplier invoices, and rectifying discrepancies before approving/rejecting
- Act as the process owner for the above ordering and invoicing workflows, developing training materials and process documents, as well as identifying and implementing changes to drive continuous improvement
- Actively monitor and track progress of the purchase order and invoice workflows to identify and resolve blockers and delays, incl. raising Finance & Procurement tickets as needed
- Maintain an active network in areas associated with these processes to ensure swift escalation of issues if required, e.g. Procurement, Finance, Asset Management Team, Invoicing, etc

**General Administration & Support**
- Act as a custodian for the Infrastructure occupied office spaces (1st floor bld.103) and ensure they are always fully functioning, stocked with necessary consumables, well maintained, and ordered. Deal with incoming and outgoing post
- Provide general admin and minor projects support to the Infrastructure team and Head of Infrastructure, including purchasing, IT requests, expense claims, travel and meeting booking, and new starters support
- Act as a buddy for new starters in the team and actively assist with onboarding
- Be an active participant in the site admin network to influence changes and seek support for initiatives
- Work as flexibly as possible and undertake any other duties considered appropriate and consistent with this job description, the job title and grade of the role
- Records & Database Management
- Maintain high levels of proficiency in Ariba, SAP, Concur and other core software platforms, both new and existing, to successfully support the ordering/invoice process, broader Infrastructure team needs and other ad hoc internal requests

**Knowledge, experience & capabilities**
- Fully proficient in using Microsoft Office and various other IT systems e.g. SAP, PPMCapex, Smartsheets, and Ariba
- Demonstrated ability in working to tight and changing timelines
- Demonstrated ability in planning, tracking, and delivering own work
- Ability to work without supervision and effectively prioritise
- A good appreciation of the complexities of a global business
- Strong eye for detail and outstanding organisational skills
