**Job Purpose**
Support the Duty Manager with the planning and organising of operational activities, training and development of Facilities Assistants and Facilities Cleaning Assistants within a Zonal Facilities team to deliver a front-line service to the University community.

**Main Duties and Responsibilities**

**1 Training and Supervisory activities**
1.1Provide on the job training relating to Facilities Assistant duties. Supporting and coaching team members to be confident in their roles.
1.2 Responsible for the planning, organising, coordination and execution of a range of day-to-day operational activities on behalf of the Duty Manager. This includes revising rotas to cover absence, holidays and unexpected peaks in demand for services across the zone.
1.2 Daily allocation of duties, support and embed the roll out of team cleaning.
1.3 Deputise for and provide Duty Manager cover including:

- To support the scheduling, allocation and monitoring of daily and weekly work routines and prioritising duties in line with operating requirements.
- Provide clear and supportive direction motivate, coach and develop new and less experienced team members.
- Responsible for maintaining sufficient stock levels including consumables to provide services.
- Ensure own personal safety and the safety of others by monitoring staff following safe working practices for the use and storage of materials equipment and machinery, embedding a safe work environment including the use of hazard warning signs and personal protective equipment (PPE), equipment and cleaning materials to enable team members to complete tasks.
- Respond to reported breaches of security and emergencies within the cluster and ensure team members observe rules and procedures in respect of hygiene, health and safety and fire prevention. Including when escalation to security is essential to assist with emergency procedures as directed to support fire evacuation procedures and first aid.
- Responsible for supporting staff to maximise their contribution and further their development through the Universities Performance and Development Review, by setting agreed performance standards and objectives to embed continuous improvement.
- Responsible for managing the informal stages of the managing attendance and managing and supporting performance policy where underperformance has been identified, to allow staff to improve, perform effectively and achieve their potential. This includes maintaining regular feedback on performance and bringing concerns to the attention of the staff member with the aim to resolve issues quickly and effectively as possible by identifying necessary improvement plans.

**2 Customer Service**
2.1 Support the Duty Manager to produce and update daily and weekly work routines, prioritising activities in line with planned and unplanned events to support University business.
2.2 Deliver customer-focused, proactive support to all users of the building. Build positive relationships with customers and staff by being visible throughout the zone, maintaining a high profile with customers and staff and personally taking action to
resolve issues and deliver an excellent customer experience.
2.3 Support the use of Audio Visual and Lecture Theatre Video Linking equipment; to include general instruction to research, teaching and support staff on operating display screens, lighting controls and fault resolution. Develop own knowledge and skills to resolve less routine issues and cascade new learnings to colleagues.
2.4 Delivering a full range of support across all activity, including directional information about the building, providing access to services for users of the buildings and as and when required providing reception and information pop ups and services.

**3 Maintenance, H&S Compliance and Security**
3.1 Embed within the team and undertake proactive fault and maintenance reporting in line with the agreed fault triaging process. Liaise with other Estates colleagues in your area and the use of fault observation and back-office checks, to monitor faults through to completion. Liaise with Facilities Assistants monthly to review, report and escalate outstanding matters, and appropriately update building users and key stakeholders.
3.2 Daily management of access control permissions for all building users across allocated zone. Administer software system to activate and deactivate staff and student cards.
3.3 Oversee and assist in the coordination of contractors coming on-site with minimum disruption to building users, by working with Estates colleagues to ensure the Contractor policy is followed.
3.4 Lead on and undertake periodic compliance checks of buildings to ensure a safe working environment for building users, including routine fire safety checks, fire alarm testing, emergency call alarm testing and water temperature and quality checks.
Complete and hold accurate records of checks including using relevant computer systems and software packages.
