**PA To The MD**

**Personal Assistant duties and responsibilities that are required but are not limited to**:

- Act as the point of contact between the MD and internal/external clients
- Screen and direct phone calls and distribute correspondence
- Handle requests and queries appropriately for both the MD and other Managers
- Manage diary and schedule meetings and appointments
- Answer the door when bell is activated
- Make travel arrangements
- Take dictation and minutes
- Source office supplies using the preferred suppliers only and distribution on request. This includes the annual purchasing of calendars and site diaries following consultation with the team for requirements.
- Produce reports, presentations and briefs as requested
- Devise and maintain office filing system
- Open post (generic named post only, those with personal names or directed to a particular role should not be opened for data protection of all involved)
- Logging and filing of all leases and rental documents for the commercial properties. Admin tasks surrounding changes as required and any other business communication concerning tenants with the exception of invoicing. Liaise with departments on changes as appropriate (term changes, rental income changes, personnel detail changes)
- Insurances - to hold documents, carry out communication and distribution of information. Certificate display, updating insurance cover with company when there are changes both sale and purchase. Collate insurance claims for submission by consulting with relevant parties
- Taxing of vehicles, safeguarding of spare keys, distribution of new or refreshed Fuel Cards as requested by the Assistant FC.
- Attend meetings when required, - recording of minutes from meetings, typing up and distributing to relevant parties
- Preparation of minutes and notices regarding shareholders and dividends (not necessarily attendance thereof)
- Postage for the company, whether that is going to the post office or operating the franking machine. Topping up of franking machine as required
- First aid boxes periodic checking and replenishing as required. Communication both electronically and visually of the appointed first aiders on each floor.
- Producing managing and retaining (for 7 years) the signing in and out register for staff and visitors
- Legal documentation preparation and filing for safe storage and reference inc leases, claims both against the company and instructed by the company relating to employee/supplier/contractor, purchase or land/assets in conjunction with the relevant departments and parties involved.
- Any other reasonable request for the benefit of the business as directed by the Managing Director or Management Team

**A successful Personal Assistant will have the following prerequisite skills and qualifications**:

- Excellent attention to detail
- Excellent organisation, people management and time management skills
- Strong command of the English language
- Ability to prioritise and multitask efficiently
- Strong communication skills
- Working knowledge of standard word processing, spreadsheet and other productivity software tools
- Excellent verbal and written communication skills
- Strong customer service and social skills
- Discretion and tact
- Follows instructions clearly and accurately within a timely fashion
- Proactive and enthusiastic about delivering positive results
- Able to sit, walk, stand for long hours at a time

Ability to commute/relocate:

- Perseverance Street Castleford, WF10 1LD: reliably commute or plan to relocate before starting work (required)
