**Reception Services**
- **General Requirements**
- **Core hours of service will be between 08:30 and 17:00 on Monday to Friday excluding Bank Holidays at both KH Premises.**
- **All Supplier personnel shall comply with the agreed uniform and dress standards at all times.**
- **The Supplier shall be responsible for the general upkeep of the reception desk and reception area to ensure that both are maintained to a high standard of cleanliness at all times.**
- **Supplier staff to be competent in the Health & Safety and Standard Operating Procedures as required by KH.**
- **The Supplier shall ensure that any issues identified are reported to the KH Facilities Manager.**
- **The Supplier shall be responsible for booking taxis when requested, including maintaining the client logbook.**
- **Mail, Courier & Archive Management**
- **The Supplier shall be responsible for**:

- **The receipt and scanning of incoming mail, Statements and Valuations to the relevant predetermined folders.**
- **The receipt of incoming faxes, including the routing to the KH recipient.**
- **The preparation and booking of outward mail and courier services.**
- **The receipt of incoming couriers, including the recording of their arrival time.**
- **Requesting of all archive requirements with the KH agreed third party, including the recording of all archiving in the KH archiving system.**
- **Visitor Management**
- **On arrival, the Supplier shall**:

- **Meet and greet visitors in a professional and courteous manner.**
- **Alert the KH host of visitor arrival.**
- **Offer basic beverages (tea/coffee) to the visitor.**
- **Escort visitors to the relevant pre-booked meeting room.**
- **Meeting Room Management**
- **The Supplier shall ensure that**:

- **All client meeting rooms booked are prepared in advance for use.**
- **Client catering is delivered to the relevant meeting room when required.**
- **All client meeting rooms are cleared after use.**
- **Complaint Management**
- **The Supplier shall deal with customer complaints in a professional and courteous manner, ensuring that all complaints are reported to KH representatives within 24 hours and recorded in the complaints log.**
- **Switchboard**
- **The Supplier shall manage the KH switchboard and answer incoming telephone calls for ad hoc enquiries where direct dial numbers are not provided by client facing staff.**

**Other Responsibilities**
- **Ensure that all current health and safety guidelines are followed;**
- **Ensure that all employment and anti-discrimination guidelines are followed in-line with current legislation and best practice;**
- **Ensure that the values of the business are demonstrated as an integral part of your role; and**

**Qualifications and Experience**
- **Experience in a reception based/ Front of house role for a similar establishment.**

**Technical Skills**
- **Methodical and high attention to detail; and**
- **Good analytical skills.**

**I.T. Skills**
- **Intermediate computer skills are required.**
