Job description

Be the first point of contact for external callers and visitors to DPG and sort through our paper files, using our case management system.

**Duties and Responsibilities**:
Together with our Practice Manager and Admin Assistants, you will ensure the smooth running of the office. You will work to ensure the careful destruction of our paper files.

Your duties will include:
Reception:

- Answering phone calls; transferring callers to staff members, taking telephone messages, returning calls.
- Receiving visitors; collecting them from the buildings’ reception and liaising with fee-earners about them.
- Opening incoming post; scanning post, and the arranging dispatch of outgoing post where needed.
- Maintaining office security by following safety procedures and controlling access via reception.
- Using the firm’s case management system (SOS Connect) to look up and input client details on the database.
- Keeping the office and meeting rooms tidy and updated.
- Arranging couriers and cabs as required.

File Management:

- Reviewing physical files, ensuring the contents are saved on our case management system or managed appropriately before you securely destroy them.
- Assisting with the archiving process.

General:

- Complying with the policies and procedures in place.
- Assisting the Practice Manager with projects and tasks.
- Proactively trying to improve the office operation under the supervision of the Practice Manager.
- Working with the partners and support staff to ensure that the office is run smoothly and efficiently, covering the work of others where required.
- Reviewing notes from staff meetings where appropriate.
- Complying with the firm’s equal opportunities policy.
