**JOB DESCRIPTION**
**Job Title: Document Control Assistant**
**Full Time Position**
**Department: HR/ Legal**
**Manager: Document Controller**
**Main Duties / Activities**:
Assisting Document Controller in daily duties, to include but not limited to,
- Reproduction of drawings and documents (hardcopy and in an electronic version,) as required, using standard drawing issues, receipt forms, client report mechanisms and project reports, as well as storage of current drawings ensuring that records are kept up to date with superseded drawings, specifications, schedules, RFIs etc.
- Registering and distribution of incoming and outgoing drawings and project information to include, but not limited to, drawings, specifications, RFIS, Method and Risk Assessments from internal and external sources
- Recording flow of documentation to meet Company procedures and client protocols.
- Liaising with the design/contracts/estimating/QS teams, internal and external project teams and client teams
- Assisting with As build documentation, site packs, sample documentation and handover information
- Archiving and general office duties
- Filing documents in physical and digital records and ensure appropriate storage
- Reviewing and maintain the accuracy of the records, editing where necessary to ensure they are up to date
- Maintaining confidentiality around sensitive documentation
- Managing Project Groups
- Preparing ad-hoc reports, presentations and correspondences on projects when required
- weekly updating of the Progress Status Sheet for each contract and circulating the information as required
- generating Work Order Numbers and Project Numbers
- Daily updating of IMO Certs Database and providing reports when require
- Updating and amending relevant ERP record
- Carrying out Reception duties as required to provide cover for MJM Receptionist
**HEALTH AND SAFETY**
- To be fully aware of and adhere to the Company’s Health and Safety policies and procedures
**TRAVEL**:
- Travel and working off site in accordance with the role’s commercial functionality
**OTHER**:
- Compliance with Company policies and procedures
- All duties commensurate with the Job Title as directed by Management
**SKILLS/ EXPERIENCE**:
