** Reed are looking for a full time temporary receptionist for a pet care/vet service.**

This role is based in the heart of Woodley paying up to £11.00ph

PURPOSE & SCOPE OF THE ROLE: To make the customer experience exceptional in terms of service and care
on the telephone or in the practice.

KEY RESPONSIBILITIES:

- Promote the image of... ltd as a professional and caring organisation at all times.
Confidentiality must be applied to all aspects of its service and management and comply with the
Data protection Act
- Be familiar with... protocols as stated in the practice handbook and abide by them in the
course of their work
- Acknowledge clients as they arrive, be warm, welcoming and professional at all times
- Ensure the telephone is answered between the third and fourth ring
- Respond positively and professionally to telephone enquiries
- Maintain an exceptional level of cleanliness in all areas at all times (we do not offer a public toilet to
clients)
- Maintain stock levels of consumables i.e. paper, printer cartridges, labels, leaflets and vaccination
cards within company guidelines
- Prepare all client paperwork i.e. vaccine cards and microchip forms
- Obtain patient histories from previous veterinary surgeries
- Take client payments and carefully record these transactions
- Ensure the daily takings are balanced and accurately recorded
- The daily filing of surgery records
- The distribution of incoming practice mail and the postage of outgoing mail
- Ensure booster reminders and sympathy cards are generated and posted
- Ensure that stock received is checked against invoices and that correct. Rectify any mistakes and
ensure that any returns have the right paperwork
- Liaise with Nursing staff and Vets with messages, enquiries and client phone calls/call backs
- Ensure all waiting clients weigh their dogs and record their weights on the computer
- Accurately maintain client records and record all information/contact
- Give full co-operation to any colleague requiring assistance in a prompt and helpful manner and be
flexible in assisting around the practice in response to practice needs
- Ensure maximum client satisfaction by responding to and anticipating client/colleague requirements
in a friendly and efficient manner so providing a consistently high level of service
- Promote effective communications within the practice by being receptive to issues communicated
to you and ensuring that you pass on relevant information from colleagues to the appropriate
person
- Scan laboratory results/referral letters/patient histories onto the client computer records
- Prepare and collect all drugs from the dispensary following the guidelines as shown in the
dispensary and ensure they are checked and initialled by a qualified member of staff.
