- Answering calls from Clients, estate agents, lenders and any third parties to help further progress any commercial matters.
- Taking Clients initial instructions on sale, purchases, commercial leases, commercial refinances and any other type of other commercial matters.
- Preparing our Firm’s Terms of Business and quotation paperwork as well as ensuring all compliance checks including AML checks are completed.
- Ensuring source of funds checks are checked diligently and statements for appropriate accounts are requested from the client where necessary
- Then opening the files both physically and electronically.
- Scanning all the relevant documents.
- Liaising with Clients, lenders and other organisations throughout the above-named transactions and assisting in bring these to the successful completion stage.
- Then dealing with post completion formalities, including registration and eventual closure of files.
- Your duties also involve liaising with the accounts department in relation to requesting & approving various payments
- Taking costs on account from Clients and ensuring receipt of mortgage advance funds being credited to the Client Account where mortgages are required.
- Updating clients throughout the process and assisting in meetings wherever necessary
- Preparing completion statements
- Assisting the Firm’s Practice Manager with dealing with sending Narratives, preparing and sending Invoices to the Clients or third parties.
- Dealing with all types of incoming post (hard copy/electronic) received by the firm every morning, scanning these on promptly, saving each document in its respective and relevant place as well as updating the client of any correspondence receivedrelating to their matter.
- Good IT skills - Word, Excel, Outlook and databases
