We are thrilled to be expanding our administration team here at the Nottingham Centre for Transgender Health, and are looking to recruit two hard working and enthusiastic Administrators. We are offering one permanent contract and also one fixed term contract for twelve months, to join our busy but friendly team. The roles are office based and you will work from our clinic on Broad Street, Nottingham for 37.5 hours per week, Monday to Friday.

You will be an experienced administrator with word processing, data entry and secretarial skills. You will share in our passion to provide the best quality of service to our patients.

Experience of using Systm1 would be advantageous but is not essential.

Previous transgender lived experience or knowledge is desirable.

Please note that this post may not meet the pay and skill level required for a Skilled worker visa

Successful applicants with no prior NHS experience would normally be placed at the bottom of the band in line with Agenda for Change. This salary is below the minimum salary required for sponsorship for a Skilled Worker / Health & Care visa and also does not appear on the shortage occupation list for healthcare and education. In these circumstances the Trust would not, therefore, be able to sponsor for a Skilled Worker / Health & Care visa.

Our permanent position will have a particular focus on reception and telephone support, however both roles will be required to meet the role as set out in the job description and person specification.

The role requires applicants to
- excellent IT skills and the ability to use Microsoft Office including Word, Excel and Outlook, along with web-based patient reporting systems.

This is a very busy role which will require you to be organised and efficient to meet regular deadlines and targets. It also requires the ability to be proactive and reprioritise work on a regular basis due to conflicting, demanding deadlines.

Excellent interpersonal skills to deal with information and enquiries in a tactful manner and the ability to build good working relations with patients, colleagues and other healthcare professionals is essential to this role.

- To work as a team, and independently, to provide a confidential, accurate and efficient administration, business, and secretarial support service to the Nottingham Centre for Transgender Health Network and its associated services.
- To contribute to improving the waiting time for patient letters and correspondence, by completing tasks within set time limits and to the required standard in terms of quality and accuracy.
- To ensure patient related tasks are logged and acknowledged in line with the clinic standard operating procedures.
- To arrange patient appointments using the clinic booking systems and to amend and reschedule those appointments where necessary, and/or instructed by the clinical and management teams.
- To input data, carry out tasks, and produce accurate correspondence, including patient notes and letters, using the electronic patient record system and other recognised software.
- To liaise with other NHS departments and providers, to obtain blood results and information in preparation and follow up of clinics
- To act as first point of call to named clinicians. Carrying out specific and agreed tasks and resolving queries where appropriate. Recognising when a query or issue needs to be escalated to the management team.
- To file and store electronic and paper information including patient records and correspondence, and clinic business and administration documentation, following clinic standard operating procedures and governance legislation.
- To contribute to providing an efficient front of house service, including answering the telephone and operating the switchboard, preparing for and welcoming patients and visitors to the clinic. Signposting, answering queries and taking accurate messages, ensuring information is passed on as appropriate.
- To monitor and order stock and non-stock items as required. To raise maintenance requests and for repair
