A Software company, based in bury St Edmunds and working within the Oil & Gas industry, are looking for an all-round, experienced Administrator/ PA to join their business on a part-time basis. (1 day per week)

As the Team Support Assistant, you will be the backbone of our team, providing essential support across various administrative and operational tasks. Your key responsibilities will include:

- Timesheet approval administration to ensure accurate and timely tracking of work hours.
- Handling travel bookings in collaboration with our travel agent to facilitate smooth business trips.
- Assisting with expense claims to ensure timely reimbursement for team members.
- Managing office equipment and stationery orders to maintain a well-equipped workspace.
- Collaborating with the Finance Manager on billing instructions and credit control to ensure seamless financial operations.
- Offering general IT support to address technical issues and challenges.
- Supporting Sales and Marketing with document template updates, website administration, and CRM system maintenance.
- Assisting with HR tasks, such as employment contracts, Employee Handbook updates, and record keeping.
- Providing support during team meetings and calls to facilitate smooth communication and coordination.
- Liaising with third-party vendors for event scheduling and administration.
- Updating competitor record keeping to maintain up-to-date information.
- Conducting monthly software user numbers checks to monitor usage and licenses.
- Preparing software requirements packages for third-party software developers and designers, as well as supporting development and design agreements and Purchase Orders (POs).
- Handling supplier commercial agreements administration, including agreement updates and PO creation.
- Managing insurance record keeping and administration to ensure compliance.
- Providing general administrative support as needed to maintain efficient operations.

**Requirements**:

- Proven experience in providing administrative support in a fast-paced and dynamic environment.
- Strong organisational skills with the ability to manage multiple tasks and priorities effectively.
- Excellent communication and interpersonal skills to work collaboratively with team members and external parties.
- Proficiency in using Google Workspace and Microsoft Office tools.
- Basic IT knowledge to provide general technical support.
- High attention to detail and accuracy in handling tasks and data.
- Demonstrated ability to maintain confidentiality and handle sensitive information appropriately.
- Previous experience in HR support and knowledge of employment contracts is a plus.
- Familiarity with CRM systems and website administration is advantageous.
- A proactive and self-motivated approach to problem-solving and task execution.
