**About The Role**:
We have an exciting opportunity for Facilities Management & HSE Coordinator to join our Facilities Team. The role is based in our Hereford Head Office and is a fixed term contract role covering Maternity Leave.
Reporting to Head of Estates and Facilities Management, as Facilities Management & HSE Coordinator you will be responsible for providing efficient administration services to allpay site operations teams.
You will provide administrative support to the maintenance, security, and engineering teams, as well as undertake health and safety administrative duties.
As FM & HSE Coordinator, you will also ensure efficient running of the allpay visitors’ centre. You will be the first point of contact to our visitors, providing a warm welcome, answering phone calls, and operating visitors’ management systems where required.
Some of your key responsibilities will include:
- To provide supportive duties across site with a focus on HSE Record, updating on SharePoint and assisting the HSE advisor and Security and Safety Manager with actions/tickets raised internally and remaining ISO45001, 14001 and 50001 audit ready.
- Interfacing between FM management (maintenance, engineering, security, HSE) to support with contractor management, co-ordination, and compliance documentation as well as reactive requests across site to deploy FM team members to works and attend to HSE incidents/issues.
- Using various software to create scheduled service visits for our own Engineers and sub-contractors to meet expectations and company objectives ensuring regulatory compliance and asset management.
- Co-ordinate the daily/weekly fire and safety site tracker, ensuring appropriately situated fire marshals, physical and mental first aiders on-site.
- Co-ordinating contractor on boarding (end to end process).
- General administrative tasks.
**About You**:
As our ideal Facilities Management & HSE Coordinator, you will have/be:
- Excellent customer service skills, and act with integrity, always representing allpay in a professional and positive manner.
- You will have outstanding communication and relationship building skills.
- You will work collaboratively, supporting and enabling your teams to deliver efficient facilities services to the business.
- You will be a proficient user of Microsoft Office Suite - Word, Excel, Outlook, PowerPoint, as well as proficient in use of Microsoft Teams and Microsoft Planner app.
- You will be curious enough to find better and more efficient ways of doing things, and to create and document new processes.
- To be successful in this role you will be highly organised, plan and coordinate tasks, and you will have the ability to work in a busy environment - you will be agile enough to adjust plans quickly when needed.
