**Job Summary**

Support Legal Counsel, Director of Compliance and Data Protection Officer in relation to overseeing compliance and ensuring appropriate contracts and Terms and Conditions (T&Cs) are in place. Track and update documentation as required.

Under the supervision of the Group Data Protection Officer (DPO), this role will be responsible for specific challenges required by the General Data Protection Regulations (GDPR). Act as a point of contact for information governance queries, responding, signposting, or escalating as appropriate.

The compliance team is responsible for advising on data protection, risk management, policy management and contract management. You will therefore assist to ensure that IMG remains compliant with applicable laws and regulations and can respond in an effective and timely manner to all relevant mandatory and regulatory requirements.

To be responsible for the main administration tasks of the team.

**Key Responsibilities**

Compliance
- Assist the Director of Compliance to ensure that critical dimensions of the compliance function are routinely monitored across the Company, and that departments are identifying and mitigating risks.
- Keep up to date with relevant legal and regulatory developments in relation to compliance and provide support to the business on data protection related matters such as record management and information governance.
- Support projects and activities to ensure compliance with all relevant laws and regulations.
- Supporting on updating the Company on its requirements regarding compliance and ensuring the Company is kept up to date on relevant changes to applicable law and regulation.
- Support the Director in reviewing compliance, including reviewing of applicable policies and procedures and where appropriate assisting with writing new policies and procedures.
- Supporting on compliance-related matters as required from time to time including maintaining and updating documentation such as the Supplier Code of Conduct.

Data Protection
- Support the DPO and stakeholders within the group with their responsibilities to complete Data Protection Impact Assessment (DPIAs) and privacy by design.
- Support in the development and updating of necessary documentation and maintain accurate records.
- Ensure that Privacy Statements are maintained and updated as necessary.
- Liaise with 3rd party organisations that process data provided by the Group to ensure compliance with contractual obligations and processes, working closely with Group customer relationship management (CRM) data owners.
- Oversee the process and implementation of record retention and destruction policy throughout the Group.

Contracts
- Populate the supplier details from International Motors Limited, Spitfire and IM Group onto a contracts management system and ensure it is kept accurate and up to date and train staff in other offices on the system.
- Provide support to Legal Counsel on reviewing the existing contract database and maintaining a robust system for contract management.
- Liaise with and take instruction from General Counsel to ensure contracts and T&Cs comply with legislative requirements.
- Work with each business to send out contracts and T&Cs to current and new suppliers within IML and wider Group, supporting IMP systems if necessary. Track responses from supplier and liaise with all relevant departments to ensure the process is followed and complete.

Any other duties as required by line management.

**Knowledge, Skills and Experience**
- A working knowledge of applicable data protection legislation
- Experience of working in a compliance or risk management role
- Experience of working with contracts
- Proven ability to manage a mixed workload and work to deadlines
