**POST**:PRODUCTION ASSISTANT**

**REPORTS TO**:Site MANAGER**

**LOCATION: CARRYDUFF**

**HOURS OF WORK: 30 hours per week to be discussed**

**MAIN PURPOSE**:
Responsible for administrative management of all operational records and procedures associated in the running of a busy office and will assist with the core operations of our Despatch office. Duties include maintaining office and customer records, dealing with customer enquiries, entering customer data onto computerised systems and general admin duties associated with the running of a busy office. At all times, customer care will be your priority

**About The Role**

**KEY DUTIES AND RESONSIBILITIES**:
1. Maintain accurate accounting records; including recording of receipts and payments and preparing lodgements on a regular basis;
2. Deal with customer order and account enquiries;
3. Assist with providing Despatch cover as and when required;
4. General accounts office and credit control support to Head Office;
5. Ensure HR information systems (Microsoft Dynamics AX) are accurately maintained and reviewed and updated daily.

6. Accurately maintain Personnel and Health and Safety records for all plant employees.

7. Co-ordinate weekly calculation of wages for processing to payroll

8. Ensure full and timely compliance to all HR administration procedures, e.g., recruitment and induction paperwork.

9. Co-ordinate HR responsibilities of Supervisors, e.g., induction, holiday planning and requests, ensuring paperwork is completed and filed as per proper procedures.

10. Co-ordinate and maintain training records for all production related training on employee’s Personnel record and on the Personnel Administration and Management System.

11. Attend and make positive and relevant contribution to HR Production Meetings.

12. Maintain confidentiality of information at all times.

13. Assistance in office planning and admin support to Works Manager and Supervisor (i.e. appointments, accommodations as required)

15. Preparation of files and filing structure within Office.

16. Updating daily production records.

17. Maintain master records of all production documentation.

18. Any other duties commensurate with role and within capabilities

**Required Criteria**
- A minimum of 5 GCSE’s at Grade c or above including maths and English (or equivalent)
- Previous administration experience in an office environment
- Experience using IT systems and MS Office
- A confident telephone manner and experience of good customer service.
- Excellent interpersonal and numeric skills
- Ability to work effectively as part of a team
- Strong organisational skills
- Friendly and Approachable
- Positive attitude
- Reliable
- Can travel to and from work areas as and when required

**Desired Criteria**
- Previous use of Information Systems
- Knowledge of product / services
- Flexible approach to work overtime when required
