**SLM Administrative Assistant**
**Job summary**:
The Administrative Assistant deliver will a high-level professional administration support to the designated area.
- Will ensure that all business administration functions of the designated area of responsibility is provided to the agreed standards.
- Will be expected to work at a high-level and also be able to effectively provide cross cover for other teams. The person will also be an effective multi-tasker with effective time management skills.
- Will demonstrate high-levels of administration and organisational skills.
- Whilst having core responsibility for a designated area the person will be expected to work as part of a high functioning administration team.
**Location**: Tooting London
**Temporary**: Expected to last 3 months with possible extension
**Hours per week**: 37.5 hours per week
**Salary**: £14.79 per hour (PAYE inclusive of holiday pay)
**Skills Expereience and Knowledge**
- Relevant experience in an administration management position within the NHS or other organization.
- Relevant experience of working effectively across organisational professional boundaries in complex organisations.
- Experience of drafting reports and minute taking.
- Administration and diary management experience.
- Demonstrate the ability in communication skills for delivering key messages to a range of stakeholders both internal and external (including outside the NHS) to the organisation.
- Some presentation skills.
- Ability to identify risks, anticipate issues and create solutions and to resolve problems in relation to service delivery.
- Ability to understand a broad range of complex information quickly and making decisions where opinions differ/no obvious solution.
- Skills for supporting project management to deliver required outcomes
- Ability to work on own initiative and organize own workload with some supervision working to tight and often changing timescales.
- Educated to diploma calibre or able to demonstrate significant senior administrative or secretarial experience.
- Evidence of continuing professional development that demonstrates theoretical and practical knowledge
**Key result areas**:
- Ensure that all of the administrative requirements of the designated area are within agreed timeframe and processes.
- Deliver and monitor the designated area annual administrative plan, ensuring that all fixed requirements, such as meetings are planned, scheduled and supported.
- Ensure that all visitors to the designated area are greeted in a responsive and professional manner to ensure a positive image of the department at all times.
- Ensure that all phone calls to the designated area are answered in a responsive and professional manner to ensure a positive image of the department at all times; make arrangements for calls received outside of core service access times (e.g. by ensuringthat messages left on answerphones are picked up and receive a timely response).
- To be able to direct or re-direct personal and telephone callers appropriately according to the perceived urgency of their concern and knowledge of who else might be in a position to help.
- Ensure that all correspondence coming in to the designated area is logged and answered in a responsive and professional manner to ensure a positive image of the department at all times; make arrangements for correspondence received in error to be passedon to the appropriate area.
- In the absence of members of the Executive Team, ensure any urgent matters, including press enquiries, are appropriately and efficiently directed to the relevant senior person (Senior Manager / Clinician on call / Communications Team / Trust Secretary)for action, including complaints from patients or the public.
- Provide an administrative service to the designated area, to include arranging meetings, drafting memos and letters, minute/note taking, collating and preparing reports and ensuring their appropriate distribution. Compiling documents to include tables andgraphs on word or PowerPoint.
- Provide extensive diary management for the designated area and senior team.
- Provide extensive administration support including photocopying, printing etc.
- Maintaining local logs and registered as required.
