The purpose of this role is to provide administrative support to the site manager, supervisors and operators; to ensure efficient running of the operation and that our customer requirements for fuel quality, safety, environmental protection and service levels, are met.

This role is a Monday - Friday position 20-25 hours per week. With a flexible start time.

Reporting to the Site Manager but working closely with the Supervisors and Operations team. Responsibilities will include, but are not limited to:

- Assist the Site Manager and Supervisors by providing general administrative duties as required including but not limited to answering phone calls, report compilation, meeting minutes, data entry.
- Action stock and/or sale queries from fuel suppliers and process fuel farm communications
- Schedule and co-ordinate meetings, appointment and travel arrangements as required.
- Assist in information gathering and populating various databases and spreadsheets as required by management.
- Date input into site IT systems including relevant H&S and Maintenance Systems
- Take minutes for site meetings including H&S meetings and produce and follow up on action items to ensure completed.
- Ensure that those files designated as the responsibility of the administration assistant are effectively maintained. May include, but not limited to, vehicle records, technical and HSE bulletins, marketing information (stop lists, contract listings), Company data systems.
- Take responsibility and be the main point of contact for all office and stationary supplies and general sundry items for site
- Assist in general good housekeeping and oversee kitchen area including water cooler, dishwasher, and coffee machine
- Order PPE and keep records of stock where necessary.
- Maintain purchase orders and invoice processing through the Finance System
- Provide general support to visitors and/or contractors, and support with visitor site inductions.
- Assist as required with any audits carried out by the company, partners, customers, or other authorities.

**Other**:
The primary focus of this role is administrative support however there may be a limited requirement to assist with the day-to-day despatching of operators to refuel aircraft or covering the radio ensuring our customer requirements for fuel quality, safety, environmental protection, and service levels, are met.

**Skills and Experience**
- Strong administration and organisational skills
- Computer Literate, able to use Microsoft Programmes such as Word, Excel, Outlook, Teams etc.
- Exceptional communication skills with evidence of clear and consistent communication both internally and externally
- High level of attention to detail
- Ability to work in a fast-paced and changing environment
- Ability to exercise good judgement, tact and diplomacy and use discretion
- Pro-active, can-do attitude
- Strong interpersonal skills

- Capable of working to tight deadlines and juggling workload/priorities

**Job Types**: Part-time, Permanent

Pay: £14,144.00-£17,680.00 per year

Expected hours: No more than 25 per week
