**Job Summary**

Supporting the day-to-day operations of the practice, ensuring staff achieve their primary responsibilities, with support from the Operations Lead. Motivating and supporting staff, optimising efficiency, and ensuring the practice achieves its long-term strategic objectives in a safe and effective working environment.

Supporting the Operations lead in promoting equality, diversity and inclusion, quality & continuous improvement, confidentiality, collaborative working, service delivery, learning and development and ensuring the practice complies with CQC regulations.

**Primary Responsibilities**

The following are the core responsibilities of the operations Support. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels.

The Operations Support is responsible for supporting all day-to-day operations of
Chapelgreen Surgery.

Responsibilities include:

- Developing and implementing clinic staff rotas.
- Inductions and training schedules for trainees.
- Liaising with training providers for sickness and changes to training contracts.
- Develop, implement, and embed an effective practice training programme for all staff (clinical and administrative) liaising with external agencies when necessary, booking training sessions for PLIS, maintaining a training record.
- Manage compliance registers, supporting the business manager, ensuring DBS checks are conducted.
- Manage and monitor annual leave, sickness, and staff absence via Bright HR
- Recruitment of reception and administration staff, provide staff induction and training.
- Manage new staff inductions and assure completion of new starter packs.
- Maintaining the significant event record on Bright HR
- Providing advice to staff and briefing the team at meetings as required on training, audits, and reviews of SEAS.
- Develop, implement, and embed the practice audit programme in conjunction with the QOF and nurse lead.
- Perform the necessary reviews in accordance with practice sickness absence policy when required.

**Chapelgreen Practice**
- Manage asset registers and equipment log.
- Act as complaints manager, responsible for all complaint, investigating and concluding and maintaining an accurate record.
- Ensure the leavers policy is adhered to. Ensure all work is completed - leavers form including clinical work, deactivation of smart card etc. Prepare leavers interview.
- Hold responsibility for routine administrative tasks such as planning rotas for clinical staff and non-clinical staff.
- Dealing with day-to-day issues that arise - relating to staff and buildings.
- Responsibility of the domestic team.
- Building and equipment maintenance.
- Responding to I.T issues
- Manging the clinical system.
- Managing, organising, and conducting PPG meetings.
- Manage the practice website.
- Health and safety lead.
- Act as the communication link between the management team and staff.
- Managing the clinical system, always ensuring IT security including responsibility of registering new users on all platforms needed such as, AccuRX and ICE in accordance with new starter form.
- Responding and resolving all local IT issues where appropriate
- Guiding staff and developing searches and audits on the clinical system
- Reviewing and updating clinical templates and rotas and ensuring they relate to current practice model, arrange adequate cover if needed. Ensure adequate room rota for all staff and outside bookings to generate income
- Monitoring and disseminating information on safety alerts and other pertinent information
- Support the management team in the compilation of practice reports
- Team leader for Patient Services and Data Management Team. Promoting newer smarter working practices within DMT & Patient Services

**Secondary Responsibilities**
- Deputise for the Operations Lead in their absence
- Act as the primary point of contact for NHS(E), ICB, community services, suppliers, and other external stakeholders in the absence of the Operations Lead or Business Manager.
