We are currently looking to recruit a professional, customer focused and responsive HR Assistant to join our team.
Reporting to the Deputy Divisional Head of Workforce, the post holder will work closely with the HR Consultants in the Division, providing a first class HR Service to the Directorates. This role provides great exposure to a range of HR responsibilities, including workforce reporting, absence management and procedural advice.
To manage our divisional HR inbox, replying to and escalating queries as appropriate. Keeping a track of frequently asked questions, so as the division can take a proactive approach in response.
To support the Divisional HR Consultants in preparing monthly workforce data reports, that are shared with our colleagues within the division.
To run and monitor absence management reports, highlighting issues to the relevant HR Consultant.
To assist with sickness absence management across the division as appropriate.
Assisting with engagement projects across the division, such as our divisional newsletter or quarterly new starter lunch.

**Job Summary**:
To provide administrative support to the Divisional HR department, participating in the delivery of an effective HR service within the Division. The post holder will deal with a range of queries arising from staff terms and conditions to ensure an accurate and prompt response to all requests for first line Human Resources advice is given. The post holder may also be required to provide ad hoc support for specialist recruitment campaigns
**Responsibilities**:
1. Proactively address absence issues by contacting managers about initial short term and long term sickness absences to offer support and guidance in line with Trust procedures.
3. Supporting the HRC and HRA with managing redeployment processes by arranging interviews with potential managers.
4. Provide first line advice and support on a range of HR policies and procedures ensuring that guidance and support given fits the needs of the service/manager and is in line with best practice, Trust policy and procedure and current legislation. Escalate issues which involve more complex analysis and involvement as appropriate.
5. Communicate with tact and compassion when dealing with complex/sensitive information such as disciplinary issues, redeployment, appeals etc.
6. Assess the complexity/contentiousness of incoming issues or queries in order to escalate those requiring more complex analysis and involvement to the HR Consultant in order to deal with routine queries unsupervised, as appropriate.
7. Work with managers on specialist recruitment campaigns for high turnover areas.
8. Co-ordinate with the central recruitment team on behalf of the Division to ensure recruitment is being managed in an effective manner and is accessible as required, flagging any concerns to senior HR colleagues as soon as they are identified.
10. To run regular reports on statutory and mandatory training, appraisal, sickness absence, etc. and update managers on required actions as appropriate.
11. To undertake workforce related projects as required across the Division.
12. To support the co-ordination of the annual job planning process and collation of the job plans.
13. Input into the medical staffing support service e.g. recruitment, rostering and locum booking etc.
14. To maintain and update the records management system within Human Resources that is fit for purpose.
15. Co-ordinate activities and documentation for multi-disciplinary meetings, disciplinary hearings, training programmes etc.
16. Take minutes at meetings relating to absence management, grievance hearings etc and maintain HR records as appropriate.
17. Assist in conducting exit interviews with leavers in high turnover areas
18. Assist in the production of the monthly HR newsletter for the Division
19. Take responsibility for office equipment and sundries e.g. the printer/photocopier
20. To carry out any other duties within the scope of this post as required by senior Divisional
