- Checking our bank account to see who has paid us
- Letting the board know who has paid and the bank balance that morning
- Updating the creditors spreadsheet (that is pulled each Monday morning (see below)
- Reviewing and approving suppliers PO’s for the account handlers
- Checking, processing and uploading supplier invoices onto Xero
**Bookkeeper**
Weekly
- Creating the Creditors spreadsheet on a Monday morning
- Preparing for the Tuesday morning financial meeting
- Net billing report and checking variances and why
- Provide a weekly cashflow forecast
- Provide debtors and creditors reports
- Creating/pulling a supplier payment run
- Weekly billing plan reports for the AM team
- Checking and chasing time sheets have been completed
Monthly
- Preparing and reviewing pay roll - taking into consideration new joiners, leavers
- Time sheet reports
- Review and analyse credit card statement
- Balance sheet journals and recon
- Raise and release accruals and pre-payments
- Update actuals vs budget on forecast
- Update deferred income spreadsheets
- Raise rent invoice
- Reporting the monthly freelance spend
Quarterly
- Revise overheads budget
- VAT return and payment
Yearly
- Ensuring that our accountants have everything that they need to finalise end of year accounts
