You will be expected to liaise with staff and colleagues at all levels. You will have proven administration skills with the ability to prioritise and manage your own workload to tight deadlines. You will need to demonstrate initiative and flexibility in your approach and be able to work in a pressurised and busy environment.
- The post holder will be responsible for the administration, collection and management of the British Spinal Registry process, and will liaise and work closely with the database team related to the delivery of Spinal services, the administration of the Spinal operational delivery network and administration support of the Spinal multi-disciplinary meetings.
- To provide administrative support to the medical, nursing and administrative staff as required.
- Use multiple computer systems, including the administrative system, Excel (to include specific hospital databases and MS Office to input data.
- To communicate with patients and/or colleagues, both on the telephone and in person, in a professional and efficient manner; accepting messages on behalf of members of the team and taking appropriate action where necessary

Principal

**Responsibilities**:

- To develop and maintain effective administration systems in order to support high quality clinical service and patient care.
- To be responsible for the timely collection and accurate input of all data required for the British Spinal Registry.
- To provide regular reports as agreed with clinical and management colleagues.
- To assist clinical teams with the production of reports for governance meetings and the collection of data for audit purposes.
- Maintaining accurate data on systems to ensure accuracy and efficiency in the smooth running of the department.
- To be responsible for meeting all the NHSE, Thames Valley Spinal Network, and other national reporting deadlines for the BSR.

Service delivery/improvement
- Contribute to the NHS service improvement/modernisation agenda e.g. service redesign
- Work as part of the team in developing processes within the department to meet the demands of a growing service
- Participate in team and divisional meetings as required
- Contribute to audits regarding departmental procedures
- Have a flexible approach to working hours to meet the demands of the service
- Adhere to the Trust Access Policy and Health Records Policy and appropriate standard operating procedures, Key Performance Indicators, government targets and standard operational policies

Communication
- Make and receive telephone calls both external and internal according to Trust standards
- Take messages, ensuring they are actioned and/or received by the correct recipient
- Communicate effectively including discussion and written communication
- Provide excellent customer care, in a calm and professional manner - some situations may be challenging
- Organise and/or support meetings through effective communication

Governance
- Undertake training as required to maintain competency/comply with trust policies
- Work within Trust policies - including those for confidentiality, data protection, health and safety fire protection, and annual appraisal
- Adhere to the Trust Access Policy, Key Performance Indicators, government targets and standard operational policies and procedures

Resource Management
- Provide cover in periods of absence as directed by department manager, this may involve moving to other areas
