In this role you will be working closely with the Head of Department, manage and maintain the financial processing across the Marketing Communications team. Tasks include obtaining price quotes, raising purchase orders, credit card reconciliation, administering recharges to other directorates for services procured by the team and onboarding new suppliers as required.

To support the Marketing and Communications team and other Riverside colleagues in the delivery of a wide range of tasks including: coordinating print, production and distribution of marketing and promotional materials, managing the production and supply of branded marketing merchandise, working with external suppliers, supporting the Marketing Production Manager in all aspects of purchasing and financial reconciliation as well as helping to maintain the team’s digital asset management system.

**Accountabilities or “What You Have to Do”**

**General Administrative**:

- Working closely with the Head of Department, manage and maintain the financial processing across the Marketing Communications team. Tasks include obtaining price quotes, raising purchase orders, credit card reconciliation, administering recharges to other directorates for services procured by the team and onboarding new suppliers as required.
- Provide support to the team to facilitate the timely delivery of printed communications, including compiling, extracting, verifying and forwarding data lists, in line with data protection protocols.
- Maintain and nurture key supplier relationships, specifically those relating to print and fulfilment and merchandise supplies.
- Co-ordination of team meetings and team events on behalf of the Head of Department.
- Managing databases of team equipment including the booking out of team resources such as video production equipment and exhibition stands.
- Maintaining the team SharePoint site including the Marketing and Communications presence on the business wide intranet.
- Support the team in booking business travel, conferences and accommodation using Riverside’s designated business travel management company.
- Support the team with general administrations tasks such as ordering stationary, producing reports, creating PowerPoint presentations and other tasks as required by the Head of Department

**Marketing and Communications Specific**:

- Manage and maintain the Group wide corporate print asset store including the reconciliation of job numbers and the co-ordination of stock levels to support colleague self-service.
- Support the team in maintaining the online digital asset library including photography, graphics and templates for everyday items to support colleague self-service. Ensure that all the necessary permissions are in place for all digital assets managed by the team, whether wholly owned or licensed.
- Support the team in the commissioning of photography for Riverside use and the sourcing of generic images from online photo libraries and photographers.
- Support the team in the commissioning of video production, including the planning and co-ordination of video shoots.
- Proof reading artwork, to agreed communications standards and brand guidelines, produced by the marketing team.
- Maintaining the Group wide merchandise store, reviewing and managing stock levels and commissioning new products as and when required
