**Job summary**:

We are looking for two flexible, enthusiastic, and adaptable AO Practice Administrators to join our encouraging and welcoming team of dedicated military and civilian healthcare professionals and administrative staff working within the Medical Centre at Kendrew Barracks, Cottesmore, Rutland.

**Job description**:
The post holder will work as a member of the Defence Primary Healthcare (DPHC) Team. The duties could include the preparation of notes and statistics before clinics and surgeries. Administration of all medical records for Service personnel and entitled civilians. General secretarial and administrative support to the Practice team. Facilitation of effective communication between patients, members of the Primary Healthcare (PHC) team, secondary care and other associated healthcare agencies.
The post holder will be required to use the Defence Medical Information Capability Program (DMICP) computer system, having completed all necessary training. As the Medical Administration Officer, the post holder will have a major impact in promoting a positive image of the Healthcare Facility to patients and other users. The post holder will be required to provide administrative support to Practices within the Practice Network.
**Person specification**:
Main details of the role include but are not limited to:
- Overseeing the running of clinics, maintaining, and monitoring the Practice appointments system.
- Managing the process of referral to Civilian Hospitals and Ministry of Defence Hospital Unit (MDHU) Host Trusts, initiating and compiling all necessary paperwork.
- Computer data entry/data allocation and collation; processing and recording information in accordance with Practice procedures. Some analytical work may also be required in the form of requests for searches and data gathering for certain projects.
- Providing administrative assistance to Practice staff as required, including word/data processing, filing, photocopying, and scanning.
- Receiving and assisting patients and visitors, directing to others as appropriate. Handling all general enquiries from patients and others, in person and on the telephone, and takes and records messages for other members of the team. Processing and distributing incoming (and outgoing) mail.
- Ensuring that clinical rooms are ready for use and stocked with appropriate prescriptions, forms etc. Ordering, re-ordering and monitoring of stationery and supplies. Monitor equipment and report any operating problems.
- Organising authorised travel arrangements as required, including transport and hotel bookings.
