Clinical Co-ordinator

The co-ordinator position will play an important role in providing support to the smooth running and efficiency of various clinics within the Medical Illustration Department.
The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply.
This post is fixed term for 18 months due to - meet the needs of the service.
The co-ordinator will be responsible for
- Receiving and collating GP referrals,
- Answering patient queries both in person and over the telephone
- Supporting the pre assessment questionnaire system
- Setting up appointments via Myrddin utilising the UHB partial booking system
- Provide reports on DNA ratios for the Teledermatology Service
- Updating the diary and internal systems to reflect appointments
- Monitoring Patient pathways on Myrddin.
- Chaperoning when requested.
- Other general administrative duties
Providing additional clerical support to the team when needed
To follow appropriate systems, procedures, policies and processes, ensuring efficient and accurate planning and that timely communication is carried out to allow the patients to experience a smooth journey at all times.

- Capture and collate information on a range of data, as required by the Directorate management team.
Assist the Directorate management team in meeting national and local targets.

2. Knowledge, Training and Experience
- Educated to “A Level” /NVQ3 standard or demonstrate equivalent level of knowledge and experience.
- Excellent communication/telephone skills and the ability to deal with patients and staff at all levels in a busy environment.
- Experience of dealing with patients and representatives and other stakeholders who are unhappy with the services, etc.
- Key board skills, including word processing experience.
- Experience of working as part of a team in a multidisciplinary environment.
- NHS experience.
- Knowledge of setting up office systems.
- Ability to collect, manage and interpret data.
- Experience of the Myrddin patient administrative system and waiting list procedures.
- Knowledge of medical terminology is desirable.
3. Analytical and Judgmental Skills
- Play a supportive role within the running of the various clinics. With experience, anticipate problems on any urgent issues recognised within the Department and take necessary action to solve these problems using their own initiative.
- Deal with issues in the department that relate to clinic management or co-ordination of the clinics eg. draw issues to the attention of the patient, representatives, team and/or the managers, adhering at all times to both the Data Protection Act and Health Board policies in accordance with confidentiality.
- Aware of waiting list procedures to ensure patient appointments are made within appropriate timescales.
- Deal sensitively with patients/relatives/members of the public presenting in the department or on the telephone with a query or complaint. You should have the ability to defuse informal complaints and know the procedure of forwarding the complainant in the right direction. Depending on the enquiry, reassure patients, seek advice and always record the time, date and nature of the call.
- Liaise effectively with other internal departments eg.
- Deal with enquiries from within the Health Board, extended NHS, G.P’s and outside Agencies in connection with patient management, liaise with a multi-disciplined team within the dermatology department.
- Liaise effectively with medical, nursing and administrative colleagues at all levels in the organisation.
- Able to prioritise own workload and work to tight deadlines.
- The purpose of this post should remain constant but the duties and responsibilities may vary over time within the overall role of the post.
