We are offering a part time position working only school term time at a school based in Rugby.
£11.74 per hour.
25 hours per week, Monday to Friday over 35 weeks of the year.
8:30am - 1:30pm
**JOB PURPOSE**
Working alongside and assisting the Deputy Head (Academic) or Head of Safeguarding you will provide a high quality and efficient administrative support function. You will have excellent organisational and IT skills with an eye for detail and will assist with a wide and varied range of duties. You will be well presented and self-motivated with a confidential and professional approach, able to communicate effectively with a range of people and able to work on your own initiative. Confidential minute taking and database experience is essential. Confidentiality is extremely important due to the nature of the role.
**KEY RESPONSIBILITIES/ACCOUNTABILITIES**:
- Act as administrator and diary manager for your manager
- Administer the entry of Academic events into the School Calendar
- Administer academic reporting on Chronicle
- Administer the collection and collation of entrance test results
- Support the organisation of the School timetable
- Administer the paperwork for Academic Governing Body, Academic Committee, Heads of Department, Heads of Faculty meetings
- Administer the interview days for prospective teaching staff
- Liaise with colleagues from across the school and arrange meetings
- To ensure prompt internal and external communication of information as well as ensuring a warm, friendly and approachable attitude at all times
- Have excellent communication skills. To provide a responsive telephone service, dealing promptly with enquiries and referring callers to the most appropriate member of staff
- Taking messages in a precise, accurate and courteous manner
- Confidential minute taking
- Be flexible and proactive in suggesting new or more efficient ways of working and being an advocate of best practice and ongoing professionalism
- Input information onto the School database (iSAMS)
- Word processing, dictation, record keeping and filing of all student communications from the School
- Carry out general office duties such as answering the telephone, photocopying, scanning etc
- Ensure office area is kept tidy and smart at all times
- Behave as a Team player, be proactive, have the ability to multi-task in a very busy office environment
- Think ahead and anticipate difficulties
**SAFEGUARDING**
- Responsible for creating and maintaining a secure and safe environment for the staff and students and for ensuring that all safeguarding and child protection procedures are adhered to
- Requesting safeguarding information for new starters
- Reporting new starters and leavers to pupil tracking
- Following up on whereabouts of leavers - reporting to local authorities
**OTHER REQUIREMENTS**
- To participate in training and performance reviews as required
- To have an up to date Enhance DBS Disclosure
