**About the Role**
As a Sales Support Secretary you will be providing confidential secretarial support to a range of internal stakeholders and departments (such as the Senior Leadership Team, the Sales Team, and supporting the PA to the Regional Board of Directors, as well as supporting with the Facilities Team.
This role will involve extensive diary/calendar management as you will be arranging meetings, travel, accommodation, conferences, and events.
Duties are varied and include:
- Lead the negotiations with suppliers for conference facilities, accommodation, and travel
- Maintain electronic filing system
- Raise purchases orders using SAP/reconciling invoices
- Provide cover for the executive leadership team and PA to the Board of Directors
- Company credit card reconciliation
- Allocation of all expenses and credit card expenditure to correct cost centre
- Preparation of monthly reports
- Act as first point of contact within the Facilities office during working hours and contact suppliers (e.g., electrical, plumbing, maintenance etc.)
- Provide administration and operational/coordination support to the Head of Facilities
**Hours of Work**:Wednesday 1.30pm to 5pm & Thursday and Friday 9.00am to 5.00pm
**About You**
You will be an established business administrator with proven experience supporting stakeholders and departments across a business.
You will have experience managing complex diaries, arranging regional and international travel, and organising events/conference activities.
You will be a highly organised individual who can multi-task effectively. Comfortable working independently and flexibly to achieve your goals in a fast-paced environment.
**You will also have**:
- Excellent communication skills (written and verbal)
- Confidence using Microsoft Office (especially Outlook, Word, Excel, PowerPoint)
- Desirable - experience using finance/procurement systems to raise Purchase Orders (e.g., SAP system)
- Desirable - experience of secretarial or personal assistant duties.
