**Hours of Work**: 8.30am to 5.00pm _(40 Hour Week)_

**JOB PURPOSE**:
The key responsibilities of the Documentation Administrator will be to assist the Documentation Coordinator in the generation of documentation to support the progression of customer orders from receipt to shipment and invoicing. This includes the submittal and amendment of technical documents to ensure compliance to customer’s specifications.
There will also be a need to assist in transactional activity within the rest of Operations in support of wider Purchasing and Production activities.
**MAIN DUTIES & RESPONSIBILITIES**:
- Build custom and standard documentation packs for customers
- Liaise with internal departments to gather documents/test reports
- Collaborate with customers to update documents with comments/feedback where necessary
- Adhere to the project deadlines for issuing documents
- Ensure certificates and test reports from suppliers are up to date and accurate
- Maintain internal and external progress trackers
- Maintain up to date information in the Order report (ship dates, invoice no, shortages)
- Print picklists, complete checklists and maintain export trackers
- Liaise with customers on delivery progress of shipments
- Preparing shipping documentation - Labels, delivery notes, waybills etc.
- Filling of completed customer orders
- Creation/modification of customer manuals
- Validation and receipt of Purchase orders onto ERP system
- Generation and modification of documents in PDF, Word and Excel
- Follow all company safety policies and procedures
- Respond to change productively and handle other duties as required
**KEY REQUIREMENTS/QUALIFICATIONS**:
- Experience in preparation of technical documents of varying types would be advantageous.
- Highly organised and attentive to detail
- Capable of handling multiple tasks effectively and meeting critical deadlines
- Excellent written and verbal English language skills required.
- Experience working in a team-oriented, collaborative environment.
- Very strong customer service orientation both internally and externally
- To perform this job successfully, an individual must possess demonstrated skills in MS Word & Adobe. General proficiency in Windows and Excel also required.
