This is a fixed term position of 12 months.

We are looking for a dynamic self starter who thrives on providing flexible support to a Board wide team.

You will work within the Volunteer Service, which works with a range of partners and sectors to support around 500 people to volunteer in a wide variety of roles in every part of the organisation. The service recognises the important part volunteers play in the life and work of the NHSGGC Board and the wider community.

The Volunteer Service is managed by the Spiritual Care and Volunteer Service Manager and is managed within the Board Nursing, Midwifery and Allied Health Professional (NMAHP) Directorate. This post provides an exciting opportunity to make a contribution to the business function of the service, and in administrating and supporting the team to consolidate and develop a volunteer service that achieves its potential.

The role is primarily based at the GRI and QEUH, with frequent requirement to travel across the board area as necessary.

What you’ll do:
The main duties of the role comprise but are not restricted to:

- carrying out key administrative duties for the service (e.g. input and process information and data, and maintain agreed business and departmental systems and processes)
- responding to enquiries from key stakeholders, in particular initial enquiries from prospective volunteers
- supporting the recruitment process for volunteers e.g. supporting reference checks, managing the volunteer service mailbox
- taking minutes of team meetings
- establish and maintain office systems and procedures to improve ways of working, and contribute to the key objectives of the admin workplan
- being a friendly welcoming face and first point of contact for volunteers
- providing full administrative and secretarial support for ad hoc events and requests, e.g. sending out thank you cards to volunteers, arranging refreshments for events and training, ordering volunteer uniforms and payments
- Ad hoc administrative support for the NMAHP Directorate as required.

What you’ll bring

These will include but are not restricted to:

- High level of communication skills, including oral skills, written skills and interpersonal skills.
- High level of proficiency and confidence with the Office 365 suite, including Outlook, Teams, Excel and Word.
- Able to work autonomously and use own initiative
- Knowledge and skills in data processing and analysis
- Advanced keyboard skills
- Excellent organisational and time management skills.
- Knowledge of obligations with regard to the Data Protection Act, Caldicott Guidance and the Freedom of Information (Scotland) Act.
- Experience of minute taking
- You will educated to HNC level (or able to demonstrate equivalent ability/experience) with experience of Microsoft Office/ M365 packages.
- You will ideally have experience of working within the health service or in volunteering.
