**Receptionist**

**Location**: Southampton

**Hours**: A minimum of 37.5 hours per week 9.00am to 5.30pm with a one-hour unpaid lunch break per day plus such additional hours as may be necessary for the proper performance of your duties.

**Salary **£12.00 p/h

There is a new opportunity to join our successful client in Bournemouth as a Receptionist on a temporary basis for 6 - 9 moths.

**Job Purpose**:
Provision of reception services and support the facilities team in the management of the office.

**Duties**:

- Welcome and register visitors.
- Inform the relevant party of clients/visitors arrival.
- Organise refreshments and lunches for meetings.
- Serving lunches for meetings when required.
- Manage meeting room bookings.
- Organise the booking of car parking as appropriate.
- Ensure the meeting rooms are clean, tidy and well maintained.
- Ensure the reception area is clean and tidy.
- Keep a log of all incoming special and recorded deliveries.
- Keep a log of all couriers.
- Organising courier bookings.
- Opening the morning DX and post.
- Sorting all outgoing post and DX.
- Maintaining supplies for the meeting rooms and reception area.
- Assisting with filing and archiving.
- Other general administration duties.
- Organizing stationary cupboard.
- Ordering stationery.
- Any other project or administrative task deemed necessary for reception duty.
- Binding documents.
- Updating nominal roll weekly.
- Setting up the video conference in boardroom.
- Setting up computer for the relevant training/meeting.
- Dealing with building issues.
- Liaising between offices regarding facilities.
- Allocating car parking spaces as necessary.
- Monitor car park and deal with issues that occur.
- Arranging collection / distribution of archiving.
- Providing assistance with office supplies and checking stock.
- Liaising with Marketing re organizing Seminars / Webinars etc.
- Setting up Zoom, Microsoft teams, Skype.
- Reporting any IT Issues to the helpdesk.
- Support fire marshal for the building.
- Raising a job for Maintenance issues.

**Skills**
- Attention to detail.
- Polite, friendly and confident telephone manner.
- Competent in using Word, Outlook and Excel.
