As an Executive Assistant you will provide high-level executive and administrative support to the CEO in the execution of his/her role and responsibilities.

My client is a well-established company based in Burgess Hill.

**Description**

The key responsibilities of the Executive Assistant will be:

- Act as the first point of contact for the CEO, both internally and externally.
- To support and assist the CEO in order to ensure timely delivery of key projects to high standards.
- Work closely and effectively with the CEO to keep him/her well informed.
- Be responsible for the organisation, coordination and follow-up of electronic and paper files/records/documents as assigned by the CEO.
- Manage the schedule of the CEO ensuring he /she is well informed, aware of deadlines and well prepared.
- Be responsible for managing travel arrangements and proactively coordinating the pre-planning of trips, including arranging appropriate travel and accommodations, agendas, contacts and other necessary preparations.
- Be responsible for the planning, scheduling, coordinating, preparing of agendas and minute taking at Senior Leadership Team meetings and other corporate meetings as required, ensuring that action items from meetings are executed.
- Ensure all papers and reports that the CEO is responsible for, are of an excellent standard.
- Ensure that various administrative tasks are done in an effective and efficient manner, including reviewing and drafting correspondence, screening phone calls when requested, and maintaining executive files as needed.
- Support the CEO in all Human Resource tasks including, but not limited to: contracts, recruitment, induction, correspondence, performance management and maintaining electronic personnel records for the CEO's direct reports.
- Be responsible for the planning, scheduling, coordinating and management of annual events such as the Managers Conference and involvement, as appropriate, in events that require the CEO to be involved.
- Suggest alternative methods for further efficiency of Director of Corporate Services'Services' workflowworkflow.
- Understand organisational policies and procedures to ensure appropriate decision-making protocols are followed.
- Ensure the CEO is compliant with regards to all statutory and regulatory expectations, liaising with various bodies and corporate memberships on formal paperwork.
- Process and maintain expenses for CEO. Review and authorise expenses for the Senior Leadership Team.

**Profile**

The successful Executive Assistant will have:

- Arranged director level meetings to include the taking of minutes and monitoring progress on action points previously
- Good IT skills using Microsoft Office, in particular Word, Excel and Outlook
- Excellent communication skills, both written and verbal
- Good organisational skills and the ability to prioritise workload to meet specified deadlines
- Excellent interpersonal skills
- The ability to stay calm and tactful under pressure

**Job Offer**

The successful Executive Assistant will earn up to £30,000 annually as well as hybrid working 4 days a week.
