**Apprenticeship Qualification**: L3 Business Administrator Standard

**Expected Apprenticeship Duration**: 18 months minimum

**Main Purpose**:
An administrator will assist in the efficient running of an administration office providing effective administrative support directly to our Customer, under the instruction or guidance of a Lead Administrator /Specialist Co-ordinator/Team Leader. The post holder will work collaboratively with the Customer undertaking a variety of general administrative tasks.
Separate terms of reference that are post specific will be given to the incumbent on appointment.
We may rotate administrators between posts in order to broaden their knowledge base and adopt best practise in their workplace. This will enhance our ability to provide a high level of service delivery during times of high workload, or absence/gapped posts where we will be able to call on staff to assist their colleagues. Administrators may also be expected to work on their own, unsupervised but with assistance and support provided by neighbouring Serco colleagues/Line Manager. Hours of work are 37 hours per week on shift patterns between 0800-1800hrs; local arrangements may be in place but may change due to customer requirements.

**Main Accountabilities**:
Actively engage with induction processes to ensure the successful completion of own and colleague’s probationary periods, supports colleague development.
Assist Lead Admin/Specialist Co-ord/Team Leader or other departmental staff to undertake all required admin tasks, focussing on delivering professional service excellence.
Take a pro-active role within the Department to liaise with your colleagues and customers and be fully conversant with your workload.
Effective communication with your Serco/Military/Customer colleagues.
Undertake general administration duties in office environment.
Amendment and maintenance of any assigned spreadsheets and databases, including uploading of information to share sites (SharePoint) and (as an added value activity) virtual learning environments.
Active participation at meetings and production of action notes as required.
Liaison with visitors to establish their transport, AV, accommodation, catering needs and subsequent booking of any requirements and arrival on site/to department
Booking of refreshments and hosted lunches
Maintaining adequate stationery levels and re-ordering as required.
Review and update any assigned work instructions relevant to your role.
Compilation of detailed Monthly Performance Report allowing the Team leader to write a truly reflective monthly report to the Supervisors/Admin Services Manager
To provide cover/support/shadowing for other posts as and when required.
Such other duties and responsibilities in support of Serco business and as requested by Serco line manager or senior management.
Awareness and adherence/implementation of all Serco Mandatory Polices as per the Serco management system (SMS), Code of Conduct, Think Privacy and Security Operating Procedures (SyOps). Ensure Information Privacy Classifications are used on all Serco correspondence and the customer’s classification is embraced in line with Defence Writing.
Maintaining an effective electronic filing system in accordance with the local filing structure; assist in the maintenance of this structure and in archiving old records in accordance with GDPR guidelines.
Adhere to the Health and Safety Act (1974) within the areas of their responsibility
Collation of evidence to support apprenticeship and uploading onto system
Attendance and participation in all apprentice workshops and tutor meeting, including end of apprenticeship assessment.

**What you will need for the role**:
Good level of general education, preferably with GCSE’s (A-C) or equivalent in English and Maths
Ability to communicate at all levels, using a variety of communication methods (spoken, written, behaviour)

Previous Administration and/or Secretarial experience (either paid or voluntary) - desirable
Knowledge/understanding of general office practices - desirable
