As the **HR Assistant**, you will work within a team of 3 and report directly to the HR Manager. You will provide generalist support to employees and managers across multiple sites - ensuring an efficient and effective HR service across the business.

Excellent communication skills are key, with the ability to establish quality relationships with key stakeholders, including external providers, management and staff quickly.

You are well organised and able to manage a busy workload with conflicting priorities. As a representative of the HR team, your excellent communications skills and ability to remain calm and reliable under pressure and challenge are essential to this role.

This role requires a passion for first class delivery, implementing best practice and continuous improvement and promoting BCEGI externally.

**Key Duties / Responsibilities**

With a flexible approach to supporting all BCEGI activities, preferably but not limited to:

- Providing basic advice to managers and employees on HR policies and processes - ensuring best practice
- Having a good understanding of HR practices as well as basic knowledge of employment law and employee relations
- Assisting the HR team with the coordination of the recruitment process, including; maintaining the website, corresponding with applicants, liaising with recruitment agencies, coordinating interviews, compiling and issuing offer letters and contracts of employment, checking of references and qualifications etc
- Preparing monthly HR and People Data
- Managing the day to day HR administration duties, providing support to the team as necessary
- Assisting with preparation of the monthly attendance report for HQ, as necessary
- Managing the Careers and HR inboxes and actioning accordingly
- Responsible for all associated administration and coordination of new starters and leavers - creating EE files on Cascade, administering the end of probation process, acknowledging receipt of resignation letters, scheduling exit interviews etc
- Monitoring the processing of sickness and absence, ensuring that the relevant management procedures are being followed
- Promoting equality and diversity as part of the culture of the organisation
- Coordinating meetings, interviews and parking with the Admin Team
- Assisting the HR team with the management of mandatory training (reviewing, booking, liaising with employees and managers and the training provider), collate training data for the CITB levy as and when required
- Main point of contact for Cascade (HR system) - ensure it is accurate, regularly reviewed, and updated, assist with providing training to our employees on the HR system, support employees and managers on using the system, carry out audits and transferring/updating employee data
- Undertaking ad hoc HR projects both independently and as a team
- Taking minutes at meetings as and when required
- Coins - PO’s/invoices for HR

**Work Experience/Expectations**
- Background performing a similar role as HR Assistant/HR Administrator for a minimum of 3 years
- Experience with general HR office duties - absence management, recruitment, induction, references etc
- Understanding of policies and procedures and assisting employees and managers on following them - to ensure best practice
- Taking minutes for investigations and hearings
- Day to day basic advice for ER enquiries
- Knowledge and understanding of up-to-date employment legislation and Codes of Practice

**Qualification / Health & Safety Requirements**
- CIPD Level 3 qualification (or working towards) (Desirable)
