**Responsibilities**:
**Patient Check-in and Scheduling**:

- Greet patients and visitors warmly, ensuring a positive and welcoming atmosphere.
- Manage patient check-in procedures, including verifying personal and insurance information.
- Schedule appointments, follow-ups, and consultations accurately using clinic management software.
- Answer phone calls and respond to inquiries in a professional and courteous manner.
- Handle patient questions, appointment requests, and general clinic information.

**Appointment Coordination**:

- Collaborate with physiotherapists to schedule appointments based on availability and treatment plans.
- Assist patients with appointment reminders and rescheduling as necessary.
- Ensure appointment schedules are optimized for clinic efficiency.

**Waiting Area Management**:

- Keep the waiting area and toilets clean, organized, and stocked with informational materials.
- Maintain a comfortable and inviting environment for patients and visitors.

**Administrative Oversight**:

- Manage daily clinic operations, including scheduling, patient registration, and billing.
- Maintain accurate patient records and ensure compliance with privacy regulations (HCPC, GDPR, etc.).
- Monitor and manage office supplies, equipment, and inventory.

**Financial Management**:

- Oversee billing processes, insurance claims, and payment collections.
- Prepare and analyze financial reports, including revenue, expenses, and profitability.
- Collaborate to ensure accurate invoicing and timely payments.

**Patient Care Coordination**:

- Coordinate patient scheduling to optimize clinic capacity and physiotherapist availability.
- Ensure a seamless patient experience from check-in to discharge.
- Address patient concerns, feedback, and inquiries in a professional and compassionate manner.

**Quality Assurance**:

- Maintain and enforce clinic policies and procedures to ensure compliance with industry standards and regulations.
- Monitor patient satisfaction and implement improvements based on feedback.
- Participate in quality assurance initiatives to enhance clinic services.

**Technology and Systems Management**:

- Oversee the use of electronic health records (EHR) and other clinic management software.
- Troubleshoot technical issues and collaborate with IT support as needed.
- Stay informed about technological advancements in the healthcare industry and suggest relevant upgrades.

**Problem Solving**:

- Address patient concerns, complaints, and inquiries promptly and professionally.
- Escalate issues to the appropriate staff members when necessary.

**Qualifications**:

- Proven experience in a medical receptionist or administrative role preferred.
- Familiarity with physiotherapy clinic operations and medical terminology preferred.
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficiency in using clinic management software and EHR systems preferred.
- Knowledge of healthcare regulations and compliance standards preferred.
- Ability to multitask and manage time effectively in a fast-paced environment.
