The Finance Department at Lancashire Teaching Hospital NHS FT are FSD Level 3 accredited and have a fantastic culture of continuous improvement, innovation, staff development with a focus on health and wellbeing. We are looking to recruit a administrator/finance assistant to provide support to our Finance Department and senior managers within it. The post holder will be a self-motivated, diligent and organised administrator who can support all aspects of work within the department.

The role is responsible for providing administrative support to the department by managing the office environment and office supplies, managing senior manager diaries, organising meetings, drafting agendas, preparing minutes, and drafting presentations and reports.

The role is responsible for coordinating the completion of various internal and external returns.

The postholder will also carry out some financial tasks such as raising orders, receipting goods, and a range of basic financial reconciliation tasks.

Be the point of contact for all day to day enquires, referring where necessary to more senior staff.

Responding to external and internal telephone queries from staff, patients and others and referring to appropriate person.

Manage electronic calendars, organising meetings as required and
accurate maintenance of an electronic diary with effective communication
of diary commitments.

Coordinate meetings including arranging venues and refreshments for off-site meetings.

Attend meetings in order to take minutes and produce / distribute
documentation as required.

Organise meetings as required, to include preparation of agendas and
minute taking, co-ordinating follow up action as required to ensure that
decisions / recommendations are implemented.

Provide secretarial / administrative services by perusing and
distributing incoming correspondence, disseminating information,
composing reports and correspondence, maintaining up-to-date filing
systems, booking systems and continuously developing administrative
practices to ensure order and efficiency in the department.

Chase progress on all issues with appropriate managers as and when necessary to ensure that deadlines are met.

Typing of letters or other correspondence.

Raising orders for departmental supplies, subsequent receipting of goods and liaising with suppliers to resolve any queries or issues.

Carry out basic financial reconciliations and escalate any issues arising as appropriate.
