The role of Credit Control Administrator is to support the Phoenix in maximising revenues, profit and cash flow and controlling costs and to support all other areas of the Finance team and Phoenix as a whole in carrying out their duties effectively.

You should be able to maintain excellent relationships and provide a high standard of service to all external parties (e.g., customers, suppliers, bank, auditors etc.)

Specific to role
- Assist credit controllers to collect customer debts as agreed in the terms of trade
- Assist credit controllers to drive debtor day as close to or less than target of 30 days
- Open customer accounts and release customer held orders on as prompt a basis as possible with objective of nothing on hold overnight
- Support the credit control team chasing debt during busier periods/holiday cover
- Support the purchase ledger team when required

The main responsibilities are to:

- Build your expectations to validate and challenge the outcomes
- Verify outcomes from different angles to “fit the jigsaw”
- Ensure accounts are set up correctly with relevant terms of trade, credit limit, currency, vat code/number, company number
- Maintain complete and accurate notes on Sage/ Oasis and attach Terms of Trade
- Allocate daily cash received to customer accounts and prepare daily cheque banking
- Issue copy invoices & monthly statements
- Process credit card payments
- Organise reminder and 7-day letters to customers in respect of overdue amounts (liaise with account manager as necessary)
- Collate information to facilitate decision on credit limits to be applied
- Take decision to release held orders or escalate to management for higher risk or larger items
- Manage queries or requests for help (internal or customer) to ensure timely resolution
- Identify improvements in credit control procedures & systems
- Support objectives as defined in the company’s information security policy
- Perform your tasks in support of data and information security

Ideally, you will already have:

- Excellent excel skills
- Ability to operate all relevant sections within Sage
- Ability to operate all relevant sections within Oasis
- Ability to operate all other relevant Phoenix systems (e.g. MS Teams, SharePoint)
- Ability to operate HSBC banking systems to obtain cash receipt data
- Ability to operate Barclaycard credit card processing system
- Be highly organised and able to plan, prioritise and manage your own workload
- Take ownership and accountability in order to meet deadlines and deliver results
- Keep your Manager informed of progress
- High attention to detail with excellent analytical skills
- Be able to solve problems
- Determined, enthusiastic and proactive ‘can do’ attitude
- Excellent interpersonal skills and be a team player
- Able to develop strong relationships across other Phoenix teams to support others in performing their roles effectively
- Confident and effective customer phone skills & negotiation skills
- Ability to assess and minimise risk on approving new customer accounts, setting credit limits and releasing held orders
