**Key Responsibilities**:

- Provide full secretarial support to VP Global Marketing Shared Services EMEAA including smooth and efficient running of the office and dealing with all matters in a professional, efficient, and timely manner
- Co-support and collaborate with the wider BU regional teams and global marketing colleagues
- Proactive in holistic management of the diary and resolve issues prior to actual schedule
- To complete all administration accurately and timely for all expenses and support with budget tracking and related activities.
- Assist with team engagement activities such as tracking birthdays and anniversaries and assisting with related initiatives. Work with other functional managers as required to assist in any administrative support
- including organising external meetings as required and any internal communications as needed
- Liaise with stakeholder partners & their respective PA network in global Marketing, Commercial and the wider business according to the business needs
- Management of new starter and leavers process with respective line manager, and moves according to needs/growth/reduction, in-department support for all HR related and day-to-day matters such as onboarding and setting up corporate credit card
- To undertake special duties or work outside the normal daily/weekly routine but within the overall scope of the position at the request of the VP
- To work collaboratively with the other PA’s providing reciprocal support and cover
- To meet and greet visitors
- Management of travel & accommodation arrangements,
- Help coordinate team meetings, agendas and presentations and follow up action tracking
- Project management tracking of milestones and timely follow up with key colleagues and stakeholders
- Help with the preparation and development of presentation decks as required.

**What we’re looking for**

You’re a focused on the detail’s kind of person; someone who is proactive in using initiative, self-motivated and confident with liaising with colleagues at all levels across IHG.

We’re looking for someone who exudes a professional and positive attitude and understands how to positively represent the company internally as well as to outside clients and partners.
- Previous Personal/Executive Assistant experience at a senior level is desirable, ideally within a Marketing function
- Experience of complex travel and meeting arrangements
- Excellent written and verbal communication skills
- Advanced user of Microsoft Office (incl. Teams, Word, PowerPoint, Excel, and Outlook)
- Compliant with all GDPR and confidentiality relating to projects, employees, company information and human resource issues
- Excellent organisational skills, ability to prioritise workload based upon changing needs and multi-tasking of all responsibilities
- Excellent interpersonal skills and diplomacy ideally with an interest in Marketing
