**Role & Team Overview**

Working in our vibrant lettings head office at Richmond you’ll be sat along-side our tenancy progression, client services, client accounts and renewals teams. Our diverse, sociable and friendly property management team strive to provide exceptional customer service for our landlords, tenants and contractors. Whilst no two days are ever the same what remains consistent is the need for thorough and proactive communication at all times.

We are looking for an enthusiastic individual who pays attention to detail and who can work effectively on their own and within a team. We want someone with a can-do approach who will provide first class support to the Heads of Property Management and the wider team and isn’t afraid to get involved in lots of different tasks. You will be working closely with the Heads of Property Management and both property management teams and will swiftly become the go-to person.

**Key Responsibilities of the Role**
- Monitoring the department mailbox, efficiently dealing with enquiries and action where appropriate and maintaining the departmental distribution lists on Outlook.
- Setting up and maintaining efficient filing systems and archiving systems.
- Answering incoming calls and taking messages when appropriate.
- Liaising with customers and clients in a professional and polite manner.
- Diary management, including meeting room bookings, conference call set up, Zoom, MS
- Teams meeting set up and guest arrangements where required.
- Internal and external event planning (and attendance where required).
- Attending meetings and taking minutes/notes for follow up.
- Wider team support - track and process team holiday/sickness, process new joiners and leavers, organise training and co-ordinate team meetings and agendas.
- Collating information and statistics for the department and reporting this.
- Tracking various KPIs and ensuring that the relevant people respond.
- Regular use of PowerPoint and Excel, updating and/or formatting schedules, spreadsheets and presentations.
- Raising purchase orders and processing department invoices.
- Expenses submissions.
- Working on ad hoc projects and providing ad hoc administrative support to the team as required to assist the Heads of Property Management.
- In addition to the tasks described above, the job holder may be required to carry out other duties as may reasonably be required from time to time._

**Skills, Knowledge and Experience**

You will receive comprehensive training on your role giving you the chance to flourish, however, we are ideally looking for somebody that already has the following skills, knowledge and experience:

- Previous administrative experience
- Excellent written and spoken communication skills
- Excellent IT skills including a strong working knowledge of Microsoft Outlook, PowerPoint, Excel, Word, MS Teams & Zoom
- Excellent organisation and time management skills.
- Meticulous attention to detail.
- Confident in dealing with clients
- Good team player who can use their own initiative with mínimal support.
- Exercise confidentiality and discretion at all times
