Lost Property Receptionist

**Position Summary**
The Lost property receptionist provides general support to all areas of the business, the Senior Leadership and management teams with primary responsibility for reception.
The post holder will supervise the day-to-day operation of the lost property, act as an ambassador for the business and its visitors and they will interface at all levels across the business and senior management team. As such, they will have a professional, approachable and confidential manner at all times and uphold the company values.
The post holder will manage sensitive and confidential processes and handle personal data; therefore, a high level of confidentiality and discretion is required at all times as well as a thorough understanding of the relevant data protection and GDPR requirements.
**Key Accountabilities**
- Office support, reception & facilities
- Provide front-of-house support at the reception desk; coordinate visitors and meetings as needed, including handling reception phone calls and managing post and deliveries.
- Oversee the Lost Property process from start to finish, including maintaining accurate records in our systems, communicating with customers, and managing the disposal of items appropriately.
- Issue & control visitor passes.
- Maintain the Glasgow Business unit lost property.
- Distribute incoming post to the site.
- Business & Team Support
- Provide efficient, professional, and confidential support to managers and staff regarding general Business Support matters.
- Work with the Operation leadership teams to support the continuous review and management of data records of lost property processes [SOP]
- Support new employee onboarding and departure processes in coordination with all relevant parties.
- Provide general support to the business and leadership team as required and any additional duties or responsibilities deemed reasonable to the role/competency.
- General administration tasks for depot, such as photocopying, shredding and laminating.
- Consistently deliver excellent customer service standards.
- Ensure compliance with all standard operating procedures.
- Build strong relationships with other company functions.
**Skills, Experience and Qualifications required.**
- Previous experience of working in a high-volume, fast paced, customer focused environment.
- Outstanding written and verbal communication skills.
- Excellent attention to detail.
- Ability to network with the wider team across multiple functions.
- Previous experience in being proactive in utilising information from a number of systems and resolving problems.
- Ability to follow processes, adhere to policy & procedures, comply with GDPR, whilst also working on own initiative to help answer customer queries.
- Ability to multi-task, prioritise and manage own caseload.
- A high level of IT skills including Microsoft packages.
- Ability to manage conflicting deadlines.
