Our client is currently looking for an Operations Administrator to provide administrative support to the team to ensure the smooth running of Operations and efficient delivery of the company services.

**Reporting to**: Operations Support Manager

**Key responsibilities and accountability**:
Assist with recruitment for the Operations Team by completing the following:

- Preparation of job descriptions for posting on various job boards.
- Qualify and shortlist CVs as per the Operational requirement.
- Assist with screening as required.
- Enrol new starters - issuing the relevant uniform and ID cards.

Oversee Operations rostering:

- Plan and distribute all officers’ rosters for a minimum of 6 months.
- Manage leave requests.
- React to and manage last minute sickness absence.
- Lead resourcing meetings to ensure all site requirements are captured and Operations Managers are aware of any scheduling issues.
- Ensure all officers utilise Parim, the workforce management tool, for timesheet purposes.
- Assist with the preparation of monthly payroll reports for all security staff and pass to the finance team for payment.
- Assist with the Officer leaver process; ensure leaver interviews are conducted, complete leaver form and add to appropriate systems, and lead on communication between Operations, HR and Finance.
- Ensure data on the workforce management tool is kept updated, including shift information, personal information and SIA licences.

Process and organise site related paperwork:

- Assist with ensuring all SOPs are prepared and ratified by the Operations Managers, and that relevant regular updates are carried out.
- Prepare the site KPI’s for the Operations Manager and collate when completed.
- Prepare monthly/ fortnightly estate reporting for approval by Operations Manager.
- Ensure all Officer Focus Trackers are completed and collated.
- Maintain best standards of practice to ensure SIA ACS standards are achieved and maintained.
- Assist on all estate scheme administration, ensuring all sites contact details are correct on company CRMs.
- Ensure all requests for equipment and information for the estates are followed up.
- Assist with preparing the weekly Operations report where needed.
- To assist with standing up new sites as required, assisting with all aspects including uniform, rostering and administration.
- Ad hoc tasks as required to support the department.

**Job Types**: Full-time, Permanent

**Salary**: £26,000.00 per year

**Experience**:

- Administrative: 2 years (preferred)
- Shift management: 1 year (preferred)

Licence/Certification:

- Driving Licence (preferred)
