We currently seeking a Facilities Co-ordinator to work as part of a team responsible for the delivery of a high-quality service to all external and internal customers. Often the first point of contact with the Facilities/Property department, the Facilities Co-ordinator will provide an informed and professional point of contact for CVS colleagues for any queries or concerns relating maintenance, quoted & capex works, and compliance. Always ensuring timely correspondence and resolution of calls/tasks raised and general queries.

**Key duties and responsibilities required include**:

- Prioritise and action requests received, including quoted works, capex requests, etc from the national estate portfolio with the other Facilities Co-ordinator.
- Resolving any maintenance issues that arise, escalating and seeking guidance where appropriate.
- Ensure supplier compliance with Service Level Agreements (SLA) and Key performance indicators (KPI).
- Logging and raising Purchase Orders.
- Monitoring of the budget, ensure spend is in line with the budget provided.
- Supporting Accounts Payable and/or Property Administrator regarding supplier invoices against contracts/purchase orders.
- Monitoring the purchasing, hiring, and leasing of equipment, etc, and maintaining accurate records for insurance and off hiring.
- Implementing and managing internal (and electronic) filing system
- Ad hoc projects and tasks as required by the NOM and/or Director of FM
- Provide support for the RFMs.
- To provide cover and support in the absence of the Diss Facilities Manager concerning Co-ordinator duties.

**Key skills required include**:

- Proven experience as a Facilities Coordinator with multiple sites.
- Good understanding of the workings and systems within various property types.
- Experience of collating and preparing RFP/RFQs.
- Understanding of compliance requirements.
- Exceptional customer service and administration skills
- Proactive, with the ability to offer solutions.
- Experience in delivering a consistently elevated level of customer service.
- Adaptable and able to deal with the changing needs of the business.
- Experience in problem solving using initiative.
- Proficient in Adobe Acrobat, Microsoft Teams, Outlook, Excel, Word and PowerPoint.
- High level of attention to detail
- Excellent Communication skills both written & verbal.
