Property Administrator

For the Facilities Helpdesk Coordinator we are looking for someone who is proficient with MS Office tool including Excel, someone with excellent customer service experience, strong administration skills and helpdesk and/ or experience within a Facilities environment is desirable.
This is a full Time role working 37.5 hours per week, Monday to Friday 8.30pm till 5.00pm

Responsibilities include:
- Small works requests, processing and transfer to line manager
- Capital works requests, processing and transfer line manager
- Updating the system records with all requests
- Assist the coordination of planned preventative maintenance (PPM) activity
- Provide clear communication to all sites when and where required ahead of any sub-contractor visits
- Expedite documentation, job sheet paperwork and any related certification in relation to works completed on sites
- Updating the system records with all relevant documentation
- Supporting audits of the system for compliance records and identifying gaps if and where they exist
- Supporting the Property and FM team in producing monthly Key Performance Indicator (KPI) reports
- Providing general administration assistance and other duties as required
- Minimum GCSE (C or above in Maths and English)
- Proficient in the use of MS Office tool including Excel at intermediate level
- Helpdesk experience desirable, but not essential
- Web-based system tools experience desirable, but not essential
- Good organisation and administration skills with a meticulous eye for detail
- Proactive customer service and communication skills, both written and verbal with an excellent phone manner
- Minimum 2 years’ service helpdesk operator / helpdesk advisor / administration experience, ideally within Facilities
